World Wildlife Fund (WWF), one of the world’s leading conservation organizations, seeks a Donor Communications Project Management Specialist.

Major Function
The Donor Communications and Stewardship (DCS) team helps cultivate, solicit and steward WWF's prospects and donors. This includes developing communications and stewardship strategy by audience, creating promotional/informational materials, and producing concepts, proposals for high-end prospects and stewardship reports for individual donors. The Donor Communications Project Management Specialist position performs a variety of complex project management duties, while managing a small portfolio of donor communications and stewardship projects. The specialist plays a critical role in managing the workflows of all donor communications and stewardship projects, from initiation to close, liaising with communications teams across WWF, and ensuring work is completed thoughtfully, thoroughly, efficiently, and to the satisfaction of both internal and external stakeholders. The position will be a key contributor to a dynamic and creative donor communications and stewardship team at WWF.
Project management (60%)
  • Partners with team members to ensure the timely production and delivery of donor communications projects and materials by planning project timelines, leading kick-off meetings, developing budgets, enforcing deadlines, monitoring progress, and troubleshooting.
  • Conducts project intake, working collaboratively with the DCS team and stakeholders to set project goals and objectives, and evaluates final project outcomes by collecting feedback to ensure satisfaction and success.
  • Liaises with members of the Development Department, including Individual Giving, Foundation Relations, Events, Annual Giving and Strategic Services to understand and align fundraising goals with donor communications and engagement opportunities.
  • Liaises with other WWF communications, program, and operations teams, including Internal Communications, Creative Solutions, Media and External Affairs, Creative Solutions and Membership, as well as Program Operations and Fundraising Operations, to meet strategic communication and stewardship project objectives.
  • Maintains a deep understanding of WWF strategies, programs, and funding goals to inform team objectives and tactics.
  • Works within approved budgets to engage vendors and contractors.
  • Contributes to and manages content calendars for donor communications and mass stewardship outreach efforts.
  • Works closely with team coordinator to manage team communication and workflows through Microsoft Teams and develop new efficiencies in cross-team partnerships using relevant technological and digital platforms.
  • Keeps a finger on the pulse of industry trends, encouraging testing and innovation across all team functions.
Donor Communications & Stewardship Writing (40%)
  • Provides writing and proofreading support to the DCS team and fundraisers as needed.
  • Converts custom donor products into generic donor materials for broader use by the organization.
  • Independently contributes ideas, concepts and content for cultivation, solicitation and donor education materials, and mass stewardship mailings, including WWF’s annual report, donor welcome kits, holiday cards, postcards, and digital newsletters
  • Supports knowledge management and ensures completed donor products are uploaded into library systems, kept up to date, and are accessible; explores innovations in knowledge management systems and tools.
  • Performs other duties as assigned
  • A Bachelor’s degree is required, preferably in Marketing, Communications, Journalism, Nonprofit Management, Business Administration or similar concentrations
  • Must have a minimum of 4 years of professional experience (or advanced degree with two years’ experience) including experience in nonprofit communications, donor relations, or project management
  • Project Management Professional (PMP) certification or project management coursework preferred; interest in and ability to receive PMP certification or project management training upon hire is expected.
  • Must be detail-oriented, highly organized, and comfortable taking initiative.
  • Proven ability to manage systems, set priorities, and work independently and within deadlines in a fast-paced work environment.
  • Proficiency in Microsoft Office Suite, including Outlook calendar functions, mail merge in Word, data entry and manipulation in Excel, and presentations in PowerPoint.
  • Knowledge of Blackbaud CRM software, or other experience in large databases, and/or Adobe Creative Suite preferred.
  • Strong writing and communications skills across digital and print channels.
  • Understanding of nonprofit sector and principles of stewardship, donor communications, and fundraising preferred, including the ability to maintain the highest degree of confidentiality regarding donor information
