1 MISSION OF THE DEPARTMENT

  • To drive the right culture and working environment in WWF Network by ensuring embedding of our agreed network core values and standards.
  • To develop the right P&C standards, policies, procedures, systems and platforms in-order to attract, develop and retain the right people for the organization.
  • To create the optimal working environment in which the staff are able to perform at the highest level and hence are able to maximize their contribution towards the conservation goals.

2 MAJOR FUNCTIONS

Coordinates the effective functioning of the Talent Management & Business Partnership team by. supporting recruitment logistics for key leadership roles, and Talent Acquisition team with posting & screening roles as required. Provides administrative and logistics support relating to talent management programmes such as GO-Pro, LEAD, IM-pro and other learning programmes as required. Acts as the super user for HRIS platforms relating to Talent Management modules (Recruitment, performance management etc). Supports the Director, Talent Management & Business Partnership & Director Foundational Services with arranging meetings, travel and other administrative matters, as and when required. Operates and performs with considerable independence diversified tasks and duties using initiative, judgement and knowledge of organization policy and processes.

3 Major Duties and Responsibilities

  • Supports planning and logistics for key projects being led by the Director Talent Management & Business Partnership, and works closely with broader team in project management.
  • Supports the timely organisation of senior executive recruitment logistics and liaises with senior candidates in relation to travel arrangements etc.
  • Processes invoices and costs relating to executive searches and external partners.
  • Organises regular meetings and coordination with Senior Business Partners and Head Talent Management for specific deliverables and follows progress.
  • Maintains Talent Acquisition data tracking and reporting.
  • Supports posting of recruitments on relevant platforms and ensures quality control.
  • Supports Talent Acquisition team with screening roles, as requested.
  • In collaboration with Senior Business Partners and Head Talent Management, maintains external job platforms, and internal communication channels such as Workplace, internal job platform, HRIS to foster engagement with candidates and staff members in support of employer branding efforts.
  • Supports Senior Business Partners and Head Talent Management with the organisation of key talent management workshops, onboarding and learning events (E.g. GO-Pro, IM-Pro, LEAD etc), including logistics of the venue (in case of in person event) or virtual tools, and coordination of background documentation and presentation materials.
  • Supports Talent Management with administrative duties relating to E-campus.
  • Works closely with the Senior Coordinator People & Culture and Executive Team Coordinators as required.
  • Acts as the super user for HRIS platforms relating to Talent Management modules (Recruitment, performance management etc).
  • Assists the Director Talent Management & Business Partnership & Director Foundational Services with scheduling meetings, organising travel, and other administrative tasks and assists with ad hoc requests as and when necessary.

4 PROFILE

Required Qualifications.
  • A Commercial diploma.
  • 5-7years’ experience working in an administrative capacity in a complex global environment with multiple demanding stakeholders – ideally with experience acquired within a HR, Talent Management or Recruitment function.

Required Skills and Competencies.
  • Excellent organizational, administrative, multitasking and prioritization skills
  • Strong proactive client focus.
  • Comfortable working virtually across time zones.
  • Team player and ability to take initiative.
  • Patient and able to deal with ambiguity, fast- paced and constantly shifting situations.
  • Diplomacy and ability to deal with demanding individuals and confidential issues;
  • Ability to build relationships and foster effective communication, both orally and in writing.
  • Knowledge of social media tools, online learning tools;
  • Attention to detail and basic Excel skills.
  • Knowledge of GDPR regulations.
  • Fluent English, other languages advantageous
  • Interest in conservation and WWF's work.

5 WORKING RELATIONSHIPS

Internal.
  • Works closely with both the WWF International and Network HR teams as well as staff at all levels. Responds/delegates as appropriate, to queries coming from other WWF International staff.
External.
  • Interacts with external partners such as executive search, learning & development, partners and senior candidates, as required, in fulfilment of duties.
