About the Program:

WRI’s Food Program’s Food and Land Use Coalition is seeking an organized and detail-oriented individual to support program operations. In this position, you will support and help coordinate operations for the program in the areas of grants and contracts management, and assist in financial management, and program administration. The main aim of this role is to provide extensive support to the Operations Associate and FOLU team members in delivering timely and high-quality operations management. This is an entry-level role with a low-to-moderate level of complexity of tasks

What you will do:

Financial Management Support (40%)

  • Make entries and records in WRI cost and pricing systems under assigned projects
  • Prepare letters to donors, partners, auditors, other partners upon request
  • Collect, review and file Financial Status Reports from small sub-grantees
  • Assist in preparation of budget revisions and budget expenditure monitoring in a consistent and highly accurate manner
  • Serve as focal point for payments under subgrants, consultancy assignments and services contracts, events invoices and similar activities
  • Serve as focal point for travel expenses
  • Assist in the preparation of financial reports for small value awards
  • Under direct supervision of FOLU Project managers, assist with monitoring life of grant reporting requirements and ensure that progress reports are submitted in a timely manner
  • Assist with the preparation of financial reports to funders as needed and gather transaction receipts if required
  • Assist the FOLU Project managers in tracking contracts deliverables to ensure that they are submitted within the period of performance and coordinate the submission of invoices
  • Assist FOLU Operations Associate with monthly review of the transactions and finances of the projects

Grants and Contracts Management (50%)

  • Draft and submit small value contracts, sub-grants, and amendments in line with WRI procurement and grants management policies
  • Assist in preparation and drafting of large contracts, subgrants and procurement memos, support market research efforts under larger procurements, collects documents from vendors, submits contracts for review and approval and obtains relevant signatures
  • Maintain database of FOLU contracts and sub-grants under assigned projects
  • Collect invoices and payment requests under assigned projects and submit them for processing
  • Assist Operations Associate in other grants and contracts matters in timely manner

Administration and Operations Assistance (10%)

  • Provide administrative assistance to FOLU Program Director and Operations
  • Associate upon request
  • Ensure timely filing of financial, procurement and other operational documents in WRI systems Fill in bi-monthly FOLU labor tracker and submit timesheet guidelines to FOLU global team.

What you will need:

  • Bachelor’s degree in business administration, finance, procurement, international development or related area
  • Minimum of 2 years of professional experience within finance, contract & procurement, grants coordination, or business administration
  • Minimum of 1 year of work experience within a non-profit, donor funded organizations in a similar role is preferred
  • Good excel and numerical skills and ability to maintain large excel tables and files
  • Strong interest in procurement, contracts, grants and administration of donor funded projects in non-profit environment
  • Willingness to work in a geographically-dispersed team, spread across multiple time-zones
  • Must be adaptable to rapidly changing priorities and have the ability to manage multiple projects with varying deadlines
  • Demonstrates patience and perseverance in understanding and explaining issues to partners and contractors
  • Legal right to work in UK.

Desired:

  • Knowledge or interest in international development
  • Understanding of public procurement function is desirable but not essential. Training will be provided
  • Experience with financial software such as SAP, Oracle, TM1 is desirable but not essential, in house training will be provided during on-boarding.

Potential Salary:
