Summary

The People & Culture (P&C) department is focused on providing people-centric support to the organization, and its most valuable resource; the staff that make our mission possible. The Human Resources Coordinator will play a vital role in ensuring we continue to encourage, support, and retain our employees. You will serve as a resource to staff and management by proactively providing a broad range of administrative services to ensure efficient and seamless administration and coordination of daily operations of the P&C department, projects, programs, initiatives, and activities.

Responsibilities Include, But Are Not Limited To

Manage employee change form requests, track completion and corresponding employee letters

Track and manage fixed-term end dates of employees across the center for extensions or offboarding

Draft regular P&C reports such as Woodwell Weekly updates, staff meeting updates, and quarterly President’s report

Manage P&C surveys and forms within the center

Maintain accurate and up-to-date P&C files, records, and documentation; while ensuring the integrity and confidentiality of the information

Perform periodic audits of P&C files, benefits enrollments, and electronic records to ensure that all required documents are collected and filed

Coordinate and assist with new hire onboarding, employment eligibility verification (e.g. I-9s), and other orientation tasks across departments

Assist with talent acquisition process (e.g. scheduling, drafting offer letters, greeting candidates, etc.) throughout the new hire process (approximately 25% of time)

Assist with planning and execution of events, both virtual and onsite (e.g. benefits open enrollment, organization-wide meetings and other events as needed)

Act as a first response to employee questions about standard policies, benefits, leaves, hiring processes, etc.; referring complex questions to appropriate P&C team members

Provide support for benefits onboarding and open enrollment, leaves, COBRA and offboarding

Assist with invoicing for benefits, wellness, employee recognition, and engagement

Assist with the management of the P&C team platforms, applications, and tools such as Concur, Google Workspace, Jotform, Learning Management System and ADP

Performs other duties as assigned

Must Have The Following Knowledge, Skills And Abilities

Prior professional administrative support experience within human resources or office administration

Proficient with Adobe Acrobat, Google Workspace (or Microsoft Office Suite), including strong slides or Powerpoint skills, and experience with calendar management

Excellent communication skills (verbal, written and interpersonal)

Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy

Excellent organizational skills and attention to detail

Experience using ADP modules (payroll, recruiting, onboarding, etc.)

Applicant Tracking Systems (ATS) a plus

Project management or administrative tools such as Asana or Jotform is a plus

Ability to be onsite 5 days a week

Qualifications

2 + years of professional administrative experience

Bachelor's degree or equivalent

Classification and Compensation: This is a full-time, hourly, nonexempt position, the annual salary range is $45,000-$55,000 dependent on qualifications/experience. Woodwell offers a generous benefits package and work life balance.

Location: Falmouth, Massachusetts, 5 days/week
