Position Summary

The Project Coordinator plays a critical role in reducing client exposure to regulatory penalties by:

·       Monitoring ordinance deadlines and submission requirements

·       Maintaining accurate benchmarking records in ENERGY STAR Portfolio Manager

·       Supporting Building Performance Standard compliance (WA CBPS, Energize Denver, LA EBEWE, SF ECBO, San Jose, Reno, etc.)

·       Tracking performance against EUI, WUI, emissions, and target thresholds

·       Identifying compliance risks early and escalating appropriately

 

Responsibilities

Building Performance Standard Support using the EPA’s ENERGY STAR Portfolio Manager and other online applications to:

·       Maintain compliance tracking for state and local Building Performance Standards.

·       Track deadlines, exemptions, audit requirements, and performance thresholds.

·       Assist in preparing compliance documentation for submission.

·       Support data entry and verification for resource intensity, emissions factors, and benchmarking metrics.

·       Identify discrepancies or risk exposure and notify project leadership.

 

Benchmarking & Data Management

·       Maintain ENERGY STAR Portfolio Manager accounts for multiple assets.

·       Verify utility data accuracy including kWh, therms, kBtu, and water usage.

·       Reconcile invoices and utility reports for data completeness.

·       Support emissions reporting and carbon tracking.

·       Prepare summary reports for internal review prior to client distribution.

 

Risk Management & Documentation Control

·       Maintain organized digital project files in accordance with Viable standards.

·       Track ordinance changes and update internal guidance documents.

·       Assist in preparing audit documentation packages.

·       Monitor compliance KPIs and support quality assurance checks.

·       Escalate compliance gaps or data anomalies to Project Manager.

 

Client & Team Coordination

·       Assist with scheduling meetings and preparing agendas.

·       Prepare draft client updates and compliance summaries.

·       Coordinate with utilities, property managers, and vendors for data requests.

·       Support cross-functional collaboration across certification and ordinance teams.

 

Qualifications

·       2–4 years of experience in sustainability consulting, real estate operations, energy management, or regulatory compliance.

·       Strong working knowledge of ENERGY STAR Portfolio Manager.

·       Familiarity with LEED, Building Performance Standards, and benchmarking ordinances.

·       Advanced proficiency in Microsoft Excel.

·       Strong organizational and documentation management skills.

·       Analytical mindset with attention to regulatory detail.

·       Bachelor’s degree in sustainability, environmental studies, engineering, real estate, or related field preferred.

Reporting Structure

·       Reports to Senior Project Manager or Principal.

·       This position does not include direct budget ownership, client contract negotiation authority, or staff management responsibilities.

Compensation

This role includes a salary that ranges from $26.50 to $31.75 Hourly commensurate upon experience and the completion of a 90-day probationary period. Additional benefits include Dental and Vision, Quarterly 7.5%,  Profit Sharing Bonus, retirement Savings Plan, Paid Time Off vacation accrual  beginning at 10 days annually, and 6 days of annual paid sick leave.
