About the RoleThe Human Resource Associate will support the development and day-to-day operations of Vexnovate Ventures' Human Resources function.
This is an opportunity to gain hands-on experience across recruitment, onboarding, employee records, HR operations, volunteer management, employee engagement, performance management, and HR process development within an early-stage, fully remote organization.
The successful candidate will work closely with the Head of People Operations to implement HR processes, maintain accurate records, support employees and volunteers, and help build scalable people practices from the ground up.
The role is particularly suited to an HR professional who is organized, proactive, comfortable with technology, eager to learn, and able to work independently in a remote environment.
Key Responsibilities
1. HR Operations & Administration
Support the day-to-day administration of HR activities and processes.
Maintain accurate and up-to-date employee and volunteer records.
Assist with HR documentation, letters, forms, and internal HR communications.
Support leave, attendance, and other HR administrative processes.
Help organize and maintain the company's HR files and documentation systems.
Respond to routine employee and candidate HR inquiries and escalate matters when required.
2. Recruitment & Talent Acquisition
Support end-to-end recruitment activities across the organization.
Prepare and publish job descriptions and vacancy announcements.
Screen applications and maintain candidate pipelines.
Coordinate interviews and communicate with candidates throughout the recruitment process.
Maintain accurate recruitment records and update the ATS.
Support candidate onboarding and recruitment reporting.
Assist with employer branding and talent attraction initiatives.
3. Onboarding & Offboarding
Support the onboarding of new employees and volunteers.
Prepare onboarding documentation and checklists.
Coordinate onboarding activities, introductions, and required HR documentation.
Ensure new team members have the information and resources required to get started.
Support offboarding activities, including documentation, exit processes, and record updates.
4. Volunteer Management
Support the implementation and administration of the company's volunteer management program.
Maintain accurate volunteer records and participation information.
Support volunteer recruitment, screening, onboarding, and engagement.
Track volunteer activities, contributions, and participation.
Assist with volunteer communications and recognition initiatives.
Support the development and improvement of volunteer management processes.
5. Employee Experience & Engagement
Support initiatives designed to improve employee and volunteer experience.
Assist with employee engagement activities, surveys, and feedback collection.
Support internal HR communications and people-related announcements.
Help coordinate virtual team-building, engagement, and recognition activities.
Identify employee experience concerns and escalate them appropriately.
6. Performance & Development Support
Assist with the administration of performance management processes.
Support the tracking of KPIs, OKRs, performance reviews, and development activities.
Help maintain performance-related records and documentation.
Support training and learning initiatives.
Assist with employee development and engagement activities.
7. HR Systems & Process Improvement
Support the implementation and maintenance of HR systems, including the HRIS and ATS.
Help identify opportunities to simplify, standardize, and automate HR processes.
Maintain HR trackers, databases, and reporting documents.
Use Google Workspace and other approved digital tools to support HR operations.
Leverage appropriate AI tools to improve productivity while maintaining confidentiality and reviewing outputs carefully.
Assist in documenting HR processes, SOPs, workflows, and guidelines.
8. HR Compliance & Documentation
Support the maintenance of HR policies, procedures, employee handbooks, and related documentation.
Assist with maintaining employee records in accordance with company requirements.
Support HR compliance activities and escalate potential compliance concerns to the Senior HR Manager.
Handle employee information with appropriate confidentiality and professionalism.
Degree, diploma, or relevant training in Human Resources, Business Administration, Industrial Relations, Psychology, Management, or a related field is preferred but not mandatory.
1–3 years of experience in HR, People Operations, recruitment, administration, or a related role is preferred.
Fresh graduates or early-career HR professionals with relevant practical experience, internships, volunteer experience, or HR certifications are encouraged to apply.
Basic understanding of HR operations, recruitment, employee lifecycle processes, and HR documentation.
Experience using an ATS, HRIS, Google Workspace, Slack, or similar workplace tools is an advantage.
Comfortable learning and working with new HR technologies.
Basic understanding of HR compliance and employment practices.
Strong organizational and administrative skills.
