Role Description
This is a full-time, on-site role based in Bengaluru for an Events Operations Associate. The role involves coordinating and managing the logistics of events organized by Transition VC, ensuring smooth execution and adherence to project timelines. Duties include planning event operations, liaising with vendors and partners, managing budgets, assisting attendees, and monitoring event success. The Events Operations Associate will also play a key role in resolving any operational challenges and contributing to a high-quality participant experience.
Responsibilities:
End-to-End Event Execution
- Own execution from planning to teardown: venue, vendors, guest flow, and on-ground coordination
- Build and manage detailed run-of-show documents, timelines, and checklists
- Ensure tight adherence to schedules
Vendor & Venue Management
- Identify, onboard, and manage venues, caterers, production, and logistics vendors
- Negotiate commercials and ensure cost efficiency without compromising quality
- Maintain a reliable vendor stack across cities
Guest Experience & Logistics
- Manage invites, RSVPs, confirmations, and on-ground check-ins
- Ensure seamless entry, seating, transitions, and exits
- Handle edge cases in real time without escalation
Process & Systems
- Build SOPs for repeatable execution across LP Mixers and IACA
- Maintain event trackers, budgets, and post-event reports
- Continuously refine execution quality with each iteration
Qualifications:
- 2–4 years in event operations, hospitality, or on-ground execution roles
- Strong operational discipline - checklists, timelines, and follow-through are second nature
- Ability to manage multiple moving parts without losing out on detail
- Clear communicator - coordinates cleanly across internal team and external vendors
Nice to have:
- Experience executing corporate or closed-door events (not large public festivals)
- Familiarity with tools for event tracking, guest management, and vendor coordination
