WHAT WE CAN ACHIEVE TOGETHER


The Office Coordinator will work as part of the Finance & Operations Team within the Texas business unit coordinating tasks related to one or more functional activities, such as office facilities management, operations support, procurement, meetings management, special events, training, and other related areas as needed.
The Office Coordinator will work towards meeting the strategic priorities of the Finance & Operations Team by implementing tactics for approved plans and completing day-to-day tasks and activities. They may be responsible for planning and execution of logistics for special events and/or meetings, purchasing, central filing, mailroom operations, facility management, telecommunications, and reception.


They will respond to inquiries about activities, create materials, and draft correspondence. They will be well versed in the systems and resources utilized by the team to execute assigned tasks. They will maintain, track and research data, produce and review reports, and perform program analysis.


The Office Coordinator will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will provide support and targeted training related to the functional area of the team. They will implement processes and practices to improve effectiveness.


The Office Coordinator will communicate with staff in various programs across the Conservancy, as well as with donors, volunteers, vendors, and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. This position requires travel and working long and flexible hours as needed. The work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

Office Management:
  • Front desk reception
  • Coordinate access to building for staff/visitors/vendors
  • Mail processing
  • Answering phone & relaying messages
  • Ordering & restocking supplies
  • Equipment management
  • Vendor management
  • Point-of-contact and coordination with property managers
  • Coordinate with IT Support for office needs
  • Access & parking for all office locations
  • Monitor & respond to Chapter General Email
General Operations:
  • Record & Deposit Checks
  • Receive & process credit card donations
  • Scan grant and gift agreements/correspondence
  • Coordinate bi-annual staff events
  • Provide assistance for other special events as needed
  • Manage monthly staff calls (i.e., agenda, calendar invites & reminders, recording, notes, etc.)
  • Special Project Management (i.e., building moves, inventory, storage, documentation, etc.)
  • Support large donor mailings
  • Other related duties that may arise

SALARY INFORMATION


The starting pay range for a candidate selected for this position is generally within the range of $27-30 an hour for a 35-hour week. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
