The HR & Ops Officer provides administrative support in human resource functions such as compensation, talent management, benefits, staff development, recruitment, organization development, and training, at the same time they will also provide full range of administrative support to the business unit. The HR & Ops Officer is responsible for supporting human resource programs, procedures, and plans, and will provide assistance to all levels of personnel on various HR-related issues. They may be responsible for scheduling and coordinating logistics for special events and/or meetings, purchasing, central filing, mailroom operations, facility management, telecommunications, and/or reception. They will coordinate activities with multiple variables, set realistic deadlines and manage the timeline. The Officer may communicate on behalf of their supervisor with internal and external sources, including staff, donors, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of program. They will perform various administrative tasks, including some or all of the following: sorting and distributing mail, answering phones, organizing and maintaining files, purchasing, maintaining equipment, and working with vendors. They may handle domestic and international travel arrangements and calendar for supervisor. They will have frequent interaction with staff throughout the program and in other Conservancy offices, and with vendors.


  • Responsible for maintaining accurate personnel files; including processing new hire paperwork, data entry, maintaining online and hard copy files, preparing new hire materials, processing employment changes, responding to employee inquiries, and providing general administrative support.
  • Responsible for maintaining and handling highly sensitive employee data.
  • Coordinates efforts of special project activities within assigned functions.
  • Perform duties under general supervision and established guidelines;
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently;
  • Maintain limited financial responsibility, which may include processing invoices, preparing accounting forms, purchasing, or creating travel expense reports;
  • May be responsible for various activities, including planning logistics of meetings, and assisting with the planning of special events for prospects and stakeholders;
  • Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor;
  • Serve as a team member for assigned projects;
  • May purchase equipment and supplies as provided for in budget and in consultation with supervisor;


  • Associate’s degree, HR professional certification or 2 years HR-related experience, or equivalent combination.
  • Experience maintaining files, processing paperwork, data entry or related.
  • Experience responding to employee or customer inquiries.
  • Experience working with MS Office software and database software.


  • Multi-lingual skills and multi-cultural or cross-cultural experience appreciated.
  • Solid knowledge of word processing, database management, and spreadsheet software, with ability to construct and produce reports.
  • Basic understanding of fundamental HR concepts, processes, and services.
  • Strong organizational skills and attention to detail.
  • May require fluency in foreign language(s) to support global operations.
