The Administrative Assistant will spend a majority of their day at the front reception area providing a welcoming environment to guests and staff and maintain a professional presence at the entrance to our Charlottesville, VA office. They will also be a collaborative member of a network of staff supporting our five offices across Virginia.

The Administrative Assistant will perform various administrative tasks, including some or all of the following: answering phones, sorting and distributing mail, scheduling and coordinating logistics of meetings, processing check requests. Will manage the landline phone and office security systems. They may be responsible for calendars and document retention, as well as back-up administrative assistance to program teams. They will answer the main phone line, facilitate kitchen upkeep, coordinate facility management requests for general maintenance/repairs, assist with meeting support requests, perform mailroom operations, order/stock office and kitchen supplies, and maintain the appearance of office common areas and conference rooms. They will use available systems and resources to track data, documents and processes. The Assistant will have frequent interaction with staff throughout the program and in other Conservancy offices, donors, other business relations, and with vendors.


  • Duties are performed according to instructions or established practices; supervisor will resolve any problems or questions;
  • Maintain limited financial responsibility, which may include processing invoices or creating travel expense reports;
  • May purchase equipment and supplies as provided for in budget and in consultation with supervisor;
  • Assist IT Manager as a Key User to provide basic IT Support to staff
  • May serve as a team member for assigned work teams; and
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.


  • High school diploma plus 1-year experience or equivalent combination;
  • Experience providing administrative support including some or all of the following: phones/customer service, mail distribution, processing check requests, and coordinating travel arrangements; and
  • Experience working and communicating with a wide range of people.


  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Experience using MS office, Word, Excel and Outlook;
  • Experience managing diverse activities to meet deadlines;
  • Flexibility and adaptability to changing situations;
  • Excellent customer service skills and focus;
  • Familiarity with standard business communications;
  • Some college or higher education; and/or
  • Strong organizational skills and attention to detail.

Salary $18.50-$19.50/hour

This position requires a valid driver's license and compliance with TNC’s Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers."
