WHAT WE CAN ACHIEVE TOGETHER


The Team and Project Coordinator will be responsible for a variety of administrative, operational, and programmatic support to the team. They are responsible for making travel arrangements, calendar management, drafting correspondence, processing expenses, tracking action items, scheduling and coordinating logistics of meetings and special events, and other support as requested for the Director of North America Marketing. They will work with the rest of the North America Marketing Leadership Team to support operational program guidelines, improve workflow, manage diverse tasks, and identify and propose solutions to problems. The Coordinator prepares presentations, summaries, and/or reports, and may contribute to project management and other administrative, operations, and/or communications duties as requested. They will communicate on behalf of their supervisor with staff in various programs across the Conservancy.

As Team and Project Coordinator, you will:

  • Actively manage calendaring/scheduling, travel, and other support as requested for the Director of North America Marketing.
  • Schedule, coordinate, and provide logistical support for meetings related to North America Marketing.
  • Lead planning and execution of team retreats and other team events, including travel and logistical arrangements.
  • Provide additional support to team as assigned to include project management, hosting virtual meetings, preparation of documents and presentations, and other needs.
  • Participate on cross-functional teams as assigned.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently.
  • Maintain confidentiality of sensitive information.
  • Have the opportunity to act independently on assigned tasks and projects.
  • Coordinate projects and sets and manages timelines to ensure completion.
  • Duties are performed under general supervision and established guidelines.

We are looking for a Team and Project Coordinator to support the Director of North America Marketing and Communications and the North America Marketing and Communications team. The ideal candidate is a dynamic and enthusiastic organizer and connector with an understanding and interest in the operational side of running an efficient and effective regional team. As Team and Project Coordinator you will provide direct administrative support to the North America Director of Marketing and the North America Marketing Leadership Team. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication and the ability to maintain a realistic balance among multiple priorities.

WHAT YOU'LL BRING

  • Bachelor’s degree and 2 years’ experience or equivalent combination of education and experience.
  • Experience organizing and coordinating projects.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people in various geographies.
  • Solid knowledge of MS Office, Word, Excel, and Power Point.
  • Willingness to learn and operate virtual meeting platforms (Ex: Zoom, Teams) and team management software (Ex: Teams, Asana)
