The Operations Specialist is responsible for supporting the GLT/ERT by providing administrative support, planning, administering, and evaluating processes and procedures for efficiency and effectiveness. These duties include managing projects and initiatives by using excellent project management skills under minimal supervision. The Operations Specialist must be organized with a strong attention to detail, combined with interpersonal skills to quickly build rapport and trust at all levels of the organization.


  • Time Reporting Coordinator for the Business Unit, tracking employees’ time and ensuring accuracy.
  • Work with the supervisor on recruitments to include posting, running demographic reports and scheduling interviews.
  • Prepare and send new orientation materials to new hires and ensure they have the necessary equipment prior to their start date.
  • Order office and computer supplies and equipment.
  • Update legal organization charts and contact lists.
  • Manage Milestone Anniversary and You Rock awards programs.
  • Pay invoices according to policy, ensuring expenses are charged where budgeted.
  • Request home office locations and track staff work agreements.
  • Assist with team retreats/events to ensure a positive and collaborative experience.
  • Cross train to backup legal operations team members.
  • Must be able to work at a fast pace and think under pressure when dealing with crisis management. Maintain calm demeanor and professionalism when staff may be distraught.
  • This position can be physical in nature when setting up for an event. Occasional lift/move 25 – 50 pounds.

The Global Legal and Enterprise Risk Teams (GLT/ERT) is looking for an Operations Specialist who will be responsible for managing administrative and operational functions that support the GLT/ERT. The Operations Specialist will support the team by working closely with the Director of Finance Operations and collaborate across the GLT/ERT and others as appropriate.


  • Bachelor’s degree and 3 years related experience or equivalent combination;
  • Experience managing projects or events from conception to execution.
  • Experience in one or more of the following areas: database management and spreadsheet software; constructing and producing reports; data input, manipulation and analysis.
  • Experience working with MS Office software, including Word, Excel, Access and PowerPoint
  • Experience presenting self as a forward thinker, energetic, motivated, creative, relationship builder and a leader.
  • Experience working with cross-functional teams.


  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Experience with Recruiting practices.
  • Experience responding to HR related questions and issues from employees/management.
  • Broad understanding of fundamental HR concepts, processes, and services.
  • Experience working in a SharePoint environment.
  • Experience managing programs.
  • Experience with People Soft.
  • Solid knowledge of word processing, database management, and spreadsheet software, with ability to construct and
  • produce reports, data input, manipulation, and analysis.
  • Multi-lingual skills and multi-cultural or cross-cultural experience appreciated.
