How You Will Make a Difference

In this role, you will have the opportunity to support GFI's mission by assisting GFI's CAT (Collaborative Assistance Team) and HR teams manage our most valuable asset, our people. The Human Resources Coordinator will be responsible for:

  • Supporting GFI's recruiting efforts by executing administrative tasks in Greenhouse (ATS), scheduling interviews with candidates, setting-up assessments, communicating with applicants, posting open positions to job boards, and reviewing candidate applications in the designated GFI recruitment management system, rejecting applicants who do not meet minimum qualifications (for requested open roles, not for all open roles).
  • Maintaining GFI's various HR systems including ADP, Culture Amp, and Greenhouse, to ensure that data is up to date including adding new employees, removing separated employees, making changes to reflect promotions, supervisory changes, and other updates.
  • Employee onboarding and offboarding:
    • Sending offer letters and employee onboarding instructions, initiating I-9 verifications, and assisting with the Onboarding Buddy program.
    • Submitting background checks.
    • Launching Asana new hire "to do" checklists as new hires join the team and facilitating coordination between new hires and department points of contact.
    • Collecting new staff bio and headshot details, coordinating with supervisors for approval and submitting information to the Communications department to update the GFI website.
    • Updating GFI's "Who does what" guide to integrate new hires.
    • Updating GFI organizational chart.
    • Maintaining an updated tracker of employee email addresses, phone numbers, and time zones.
    • Supporting the Senior Human Resources Manager with employee separations, including transferring and deleting accounts, coordinating return of GFI property with the Operations Coordinator, and entering end dates into the I-9 Portal.
  • Ongoing HR coordination:
    • Supporting the Senior Human Resources Manager to ensure compliance with state-specific employment posting requirements.
    • Responding to employment verifications for employees, interns, and fellows.
    • Generating monthly and periodic Culture Amp reports, such as 1:1 Supervisor/Direct Report meeting statistics and onboarding / exit survey summaries. Collaborating with the Director of People Operations to set-up surveys and performance reviews in Culture Amp (employee experience and performance management platform).
    • Administering the promotions in place process, including sending forms to supervisors, tracking approvals, and drafting announcements for the weekly CAT newsletter.
    • Managing tracker of GFI employee anniversaries, coordinating anniversary announcements, and managing 1-5 year employee annual anniversary donations.
    • Coordinating ongoing anti-harassment and discrimination training for the team, sending out training links and tracking completion.
    • Administering Career Connections Newsletter in coordination with the Senior Talent Acquisition Manager and Director of People Operations.
    • Supporting the Director of People Operations to research diversity- and inclusion-related topics and share resources with the GFI team.
    • Supporting the Culture Club by managing calendar invites, sending out reminders for agenda items, and taking notes at meetings.
  • Buddying up with the Operations Coordinator to provide coverage when the other is out of the office.
  • Coordinating various benefits functions, such as assisting with annual open enrollment, auditing benefits bills, working with outside vendor to manage COBRA notices, updating SmartBenefits (commuter program for DC Office workers), and other related tasks.
  • Providing HR administrative support as requested, including but not limited to preparing correspondence and mailing documents, scheduling, and meeting preparation.
  • Editing and maintaining Human Resources SOPs and policies, as needed.
  • Performing other duties as assigned.

Who We're Looking For

The Human Resources Coordinator must have:

  • A minimum of three years Human Resources work experience (previous administrative experience preferred).
  • Prior experience providing HR support for a primarily remote workforce in multiple locations is a strong plus.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong aptitude and enthusiasm to learn new software and systems.
  • Proficiency in Google Workspace applications (Docs, Sheets, Slides, Meet, Calendar, Forms).
  • Experience with ADP, Culture Amp, Greenhouse, LinkedIn, Asana, Zoom, Airtable, Zapier, Adobe, ADP, or similar tools is a plus.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a high degree of organization and efficiency.
  • Self-motivation and the willingness to take initiative to fill gaps, meet needs, and support the CAT team.

  • Salary: $67,500-$70,206 (depending on experience and qualifications)
