About the role

Executive support (80%)

  • Diary management and coordination of internal and external meetings with senior stakeholders
  • Arrange national and international travel and accommodation, including preparing itineraries, briefings and schedules
  • Support for internal and external meetings including developing presentations as required, running reports, organising briefings and ensuring all documentation is available, circulated and published on SharePoint as necessary
  • Filing and reconciling business expenses, management of any administration tasks
  • Manage and respond to correspondence as required
  • Provide administrative support including planning, coordinating, minuting and following-up on CEO and Directors team meetings and away days as required
  • Support CEO and Directors with delegate identification and management for our large events and provide logistics support during the events
  • Liaise with senior international contacts to coordinate and arrange the CEO and Directors attendance at overseas board and committee meetings, as necessary
  • Provide ad-hoc support to the Chair of the Board
  • Opportunity to personally contribute on projects or working groups in areas of interest
Office support (20%)
  • Support the Office Manager in delivering a welcoming and productive office environment for our people and visitors
  • Arrange regional and international travel for the wider team, including any document preparation and venue management
  • Help organise and coordinate internal and external events, including staff socials and global staff events
  • Undertake other related tasks as and when required

About you

You are a team player, enjoy a dynamic environment and thrive when working across teams. You have a hands-on attitude and a friendly, approachable manner, ideally with demonstrable experience in an EA role at senior level in a corporate or non-profit environment.

You are able to deal with a wide range of tasks reliably and confidently. Working on your own initiative, you have a conscientious approach and can make sound judgement calls, while maintaining confidentiality. You can demonstrate strong organisational skills and the ability to prioritise a range of tasks, with excellent attention to detail.


  • Ability to work calmly, efficiently and to tight deadlines with high attention to detail
  • Ability to exercise judgement and deal with queries in an accurate, timely, professional manner, particularly in sensitive or high-pressure situations
  • Flexible, adaptable and willing to help
  • Proactive and able to prioritise own workload
  • Strong written and spoken English and ability to develop written materials and correspondence in house tone of voice
  • Experience in minute taking and co-ordinating meetings
  • Experience handling highly confidential information
  • Expertise in MS Office packages (MS Word, Excel, PowerPoint) and a general understanding of IT systems to enable efficient completion of responsibilities
  • Knowledge of Salesforce
  • Experience working at executive level
  • Travel booking and itineraries
  • Additional language skills


Youll be based in our London head office near Tower Bridge (SE1 2NQ), a 12-minute walk from London Bridge station and enjoy the benefits of flexible and hybrid working: 3 days in the office and 2 days from home.

This is a permanent full-time position. The salary offered is £28,000 to £32,000 per annum, based on experience.
