The event manager is responsible for overseeing the end-to-end project management of our events including key elements such as venue, supplier and speaker management plus onsite delivery. About the role

Our events team has grown over the last two years, and we are looking to continue to develop our event programme to strengthen our ability to deliver the Climate Groups mission to drive climate action fast. In addition to our flagship event (Climate Week NYC) we have planned a year-round global events programme collaborating closely with our programmatic colleagues. The experienced Event Manager will be responsible for, working closely with the Head of Events, to support the project management and delivery of our annual events programme. This will include taking ownership of event coordination and speaker management at Climate Group, planning and delivering them to a high standard.

This post, based in our London HQ and reporting to the Head of Events, sits within the global communications team. The successful candidate will be a key point of contact across the Climate Group, including our offices in New York, Amsterdam, China and India. They will play a critical role in driving our event strategy forwards and ensuring that our events impactfully bring together the worlds most influential people to tackle climate change.

Key responsibilities include:

Project management and finance


  • Concurrent project management of multiple global events
  • Take ownership of key process documentation, managing budgets & timelines to ensure successful event delivery
  • Create, manage and proof relevant event documents
  • Think outside the box, identify ways we can improve the delivery of our events and implement this change
  • Confidently liaise and coordinate across the organisation to make sure other team tasks and projects which impact the events are done in a timely manner
  • In partnership with the Head of Events, produce a forecast of the events budgets and track cost, reporting to finance any variance to budget
  • Negotiate with all suppliers to achieve the best rates for the organisation

Event management
  • Full end-to-end events coordination
  • Venue and supplier management including audio visual, production agencies and simultaneous translation providers.
  • Contract negotiation and working closely with our inhouse legal team
  • Online event management and managing all content streaming requirements
  • Ensuring Health & Safety regulations are adhered to at all events, including any Covid safety policies
  • Managing onsite event build, carrying out final technical checks plus onsite staff coordination and management
  • Onsite registration management


Speaker management


  • Manage and deliver a seamless journey for our high-profile speakers from confirmation of availability to speak through to post event follow-up
  • Creating briefing documentation for our speakers
  • Collaboratively working with the Senior Marketing Officer to ensure all speakers are profiled correctly through our websites and on social media
  • Ensuring event leads are effectively and regularly communicating with speakers
  • Comfortable virtually briefing speakers ahead of events

This is not an exhaustive list of tasks; the post-holder will be asked to undertake any other ad hoc tasks commensurate with the scope and purpose of this post.

About you

Essential


  • Experience in project managing large, media and small scale, multifaceted events
  • Ability to think outside the box and come up with suggestions to enhance the event success
  • Demonstrate a detailed understanding of contracting venues and suppliers plus a proven success in negotiating on these contracts
  • Strong budget management experience
  • Process driven, highly organised with an acute attention to detail
  • Hybrid event management experience
  • A team player who is committed to the mission of Climate Group

Desirable
  • Previous experience of working on global events, specifically New York, Asia and Washington
  • Experience in going through the process of tendering with suppliers
  • Knowledge and understanding of climate issues, with reference to corporate sustainability issues and subnational climate commitments
  • Experience of running events for senior figures from large corporations or heads of state and regional governments

Youll be based in our London head office near Tower Bridge (SE1 2NQ), a 12-minute walk from London Bridge station and enjoy the benefits of flexible and hybrid working: 3 days in the office and 2 days from home.

This is a permanent full-time position. The salary offered is £32,290 to £36,000 per annum, based on experience.
