The Opportunity

We are seeking a versatile Admin & Event Manager (~20h/week and Munich based)) who excels at both "front-of-house" and "behind-the-scenes" operations. You will balance professional administration with the seamless coordination of international events and occasional creative marketing tasks.


Location

  • The role is Munich-based, with the flexibility to work remotely a few days a week.


Key Responsibilities

  • Event Coordination: Lead international events from concept to completion, managing planning, venue selection, and vendor communication. Ensure flawless event execution and being present at key events.
  • Participant Management: Oversee guest and sponsor communications and registration flows to ensure a premium attendee experience.
  • Executive & Admin Support: Handle daily administrative tasks, database maintenance, and project management.
  • Marketing & Brand: Support occasional creative marketing tasks and maintain professional outreach to internal and external partners.


Qualifications

  • Experience: Proven track record in administration and event management or a similar coordination role.
  • Structure & Detail: Exceptionally organized with the ability to filter and prioritize tasks effectively.
  • Initiative: Self-reliant and proactive; capable of managing responsibilities independently.
  • Communication: Professional-level fluency in English; excellent interpersonal skills.
  • Operational Skills: Proficient in managing schedules, timelines, logistics and databases.
  • Reliability: A dependable team player who takes full ownership of their responsibilities.
