About The Role
We are seeking a proactive and ambitious Executive Assistant to join our New York City office. This vital role involves providing comprehensive support to our leadership team, including an Executive Vice President and other senior executives within the Business Development division. The ideal candidate will demonstrate exceptional organizational skills, resourcefulness, and the ability to manage multiple priorities efficiently in a fast-paced environment. This position requires excellent communication skills, a high degree of discretion, and the ability to adapt swiftly to changing priorities.
The Executive Assistant will serve as a key point of contact for internal and external stakeholders, ensuring smooth operations and effective coordination across teams. The role offers an exciting opportunity to be integral to a dynamic organization committed to sustainable energy solutions and growth. Qualifications
- Minimum of 2+ years of experience in an administrative or executive support role
- Exceptional organizational and time management skills with strong attention to detail
- Proven ability to manage competing priorities effectively
- Excellent written and verbal communication skills
- High level of discretion, judgment, and integrity
- Proactive, resourceful, and solutions-oriented mindset
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
- Experience supporting multiple executives or a growing team is highly desirable
- NYC-based role requiring in-office presence five days a week, with occasional travel to Asbury Park (via company shuttle)
- Manage calendars for Business Development leaders, prioritizing high-impact meetings and client engagements
- Coordinate communication and collaboration across the Business Development team and cross-functional partners
- Arrange travel logistics, including flights, accommodations, and transportation, aligned with team schedules
- Organize internal and external meetings, including client presentations and team sessions
- Monitor and track key documents, approvals, and signatures in partnership with legal and other internal teams
- Provide administrative support for Business Development initiatives and projects as needed
- Process and reconcile expenses accurately and promptly
- Oversee day-to-day office operations in NYC, including supplies procurement and equipment management
- Assist with ad hoc tasks and priorities to support team efficiency and effectiveness
