About The Role

Climate Change AI (CCAI) is seeking a dedicated and proactive Administrative and Operations Associate to support the organization’s daily functions and strategic initiatives. This full-time role involves managing a wide range of administrative, operational, financial, and communications activities essential to the smooth functioning of CCAI. The successful candidate will work closely with the Executive Director and other senior staff, providing vital support to a global team of staff and volunteers operating in a fully remote environment. The role requires a highly organized individual with excellent communication skills, adept at managing multiple priorities and implementing efficient processes. Responsibilities include overseeing the organization’s CRM and expense systems, maintaining the website, supporting organizational metrics collection, processing invoices, reconciling accounts, and assisting with event planning and logistics. The Associate will also help facilitate internal infrastructure, support external communications, and contribute to organizational improvements. This role offers an exciting opportunity to be part of a dynamic team committed to impactful climate change solutions through AI, with flexibility in location within the United States.

Qualifications

  • Minimum of 2 years of relevant professional experience in administrative, operational, or organizational support roles
  • Full professional proficiency in spoken and written English
  • Proficiency with Google Drive, Google Docs, Google Sheets / Excel
  • Experience with digital communication tools such as Slack, Zoom, and similar platforms
  • Basic financial tracking and reconciliation skills
  • Strong organizational and time-management skills with the ability to prioritize effectively
  • Excellent verbal and written communication skills
  • Ability to work independently in a remote environment
  • Comfort with learning new digital tools and software
  • Attention to detail and problem-solving mindset

Responsibilities

  • Design, implement, and manage the organization’s CRM database, expense tracking, and reporting systems to support community-building and educational initiatives
  • Support maintenance and updates of the CCAI website, ensuring content accuracy and relevance
  • Assist in cataloging and collecting organizational metrics and statistics for reporting and strategic planning
  • Organize and maintain digital file systems and internal infrastructure to enhance operational efficiency
  • Process invoices, reimbursement requests, and execute payments accurately and timely
  • Reconcile monthly accounts within the local accounting system and ensure financial compliance
  • Identify and recommend organizational process improvements to streamline operations
  • Set up and maintain legal, financial, and logistical infrastructure supporting organizational activities
  • Assist with external communications, including email correspondence and outreach efforts
  • Coordinate volunteer and staff hiring, onboarding, and related logistics
  • Manage calendars, schedule meetings, and coordinate logistics for internal and external events
  • Support travel arrangements for organizational personnel and event participants
  • Assist with organizing and setting up online registration for CCAI events
  • Provide additional support to staff and volunteer teams as needed to ensure organizational goals are met
