About The Role

Carbon Mapper is seeking a highly organized and discreet Senior Administrative Assistant to provide comprehensive administrative and operational support to the Legal General Counsel and the Director of Human Resources. This pivotal role involves managing complex schedules, coordinating confidential activities, and ensuring the smooth functioning of legal and HR departments. The ideal candidate will serve as a key liaison between executive leadership, legal, HR, and other departments, facilitating effective communication and project coordination. This position requires a proactive individual capable of handling multiple priorities in a fast-paced environment while maintaining professionalism and sound judgment. The Senior Administrative Assistant will support a variety of functions including legal documentation, compliance activities, onboarding, and employee relations, contributing significantly to the organization’s operational efficiency and strategic initiatives.

Qualifications

  • Minimum of 5+ years of experience in a senior administrative, legal, or HR support role
  • Proven ability to handle confidential and sensitive information with discretion
  • Excellent organizational, time management, and prioritization skills
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace and/or Microsoft Office Suite
  • Experience managing complex calendars and coordinating across multiple time zones
  • Ability to work independently with minimal supervision
  • Familiarity with legal and HR documentation, processes, and compliance requirements
  • Experience supporting executive leadership in a remote or distributed environment (preferred)
  • Paralegal or HR certification is a plus but not required

Responsibilities

  • Provide high-level administrative support to the Legal General Counsel and HR Director, including managing calendars, scheduling meetings, and coordinating domestic and international travel arrangements
  • Prepare agendas, briefing materials, and follow-up notes for meetings to ensure effective communication and documentation
  • Assist with legal document preparation, formatting, and version control for agreements, policies, and compliance materials
  • Track contract workflows, signatures, renewals, and maintain organized, secure filing systems for legal and HR documentation
  • Support governance activities such as board materials preparation and compliance tracking
  • Assist with HR operational processes including onboarding, offboarding, employee changes, and maintaining confidentiality of sensitive personnel records
  • Coordinate interviews, candidate scheduling, and recruitment logistics to support talent acquisition efforts
  • Draft, edit, and format internal and external communications, including employee letters and HR templates
  • Act as a liaison between Legal, HR, Finance, and executive leadership, tracking action items and ensuring timely follow-through
  • Support project coordination for legal and HR initiatives, maintaining high attention to detail across multiple workstreams
