Administrative Assistant
Description We are looking for an Administrative Assistant to join an insurance organization in Richmond, Virginia on a Long-term Contract basis. This position supports operations through accurate data entry, careful file review, and dependable coordination of recurring administrative tasks. The role is best suited for someone who thrives in a structured, process-oriented environment and takes pride in delivering responsive service to both internal teams and external contacts. Responsibilities:
- Enter application and policy-related information into company systems with speed and accuracy, confirming details are complete before routing files through the appropriate workflow steps.
- Provide day-to-day administrative support to underwriting teams by organizing documents, maintaining records, and helping keep routine processing activities on schedule.
- Respond professionally to internal and external inquiries, offering timely updates and attentive customer service by phone, email, and other communication channels.
- Prepare and process legal notices and other required documentation in accordance with established timelines and quality standards.
- Set up renewal information across multiple product lines, ensuring records are updated correctly and ready for further underwriting review.
- Assist with program business tasks and other operational assignments that contribute to efficient daily workflow management.
- Identify opportunities to improve accuracy and organization within recurring administrative processes while supporting team goals and service expectations.
- Previous experience in administrative support, office coordination, reception, or high-volume data entry work.
- Strong written and verbal communication skills with a detail-focused, service-oriented approach.
- Proven attention to detail and the ability to manage repetitive tasks accurately in a fast-paced environment.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to handle inbound calls, organize competing priorities, and follow established procedures consistently.
- Resourceful and dependable work style, with the ability to resolve routine tasks independently and follow through on assignments.
