Position Overview
Our client is seeking a highly organized, proactive Office Assistant to support daily operations and help keep our team running smoothly. This role will begin remote and transition into a in-office position.
This person will work closely with the President, assist with customer communication and scheduling, help maintain operational organization, and occasionally join sales appointments to learn the solar sales cycle and support the process.

Key Responsibilities
Administrative & Operational Support
- Manage calendars, schedule appointments, and coordinate meetings for leadership and sales staff
- Maintain organization across files, documents, customer records, and ongoing projects
- Assist with administrative tasks, communication tracking, and internal coordination
- Support daily office operations and ensure tasks and deadlines are met
Customer Service & Sales Support
- Handle inbound customer inquiries with a friendly, professional tone
- Assist with appointment scheduling, follow-ups, and keeping customers informed
- Engage in light sales support, such as providing information and preparing materials
- Join occasional customer appointments to shadow and understand the sales process
Commercial & Residential Solar Support
- Assist with preparing commercial solar presentations (Energy Toolbase, Helioscope, and other software—training provided)
- Help gather information to determine financing options (Cash, Capital Lease, PPA, etc.)
- Coordinate with customers in ComEd, Ameren, and cooperative territories
- Support both residential and commercial projects as needed
Qualifications Required:
- 1+ years of experience in construction, solar, or a related field (office, coordination, or customer-facing roles preferred)
- Strong communication, customer service, and organizational skills
- Ability to multitask, prioritize, and stay highly organized in a fast-paced environment
- Must live within a commutable distance to our future Chicagoland office within the Westerns Suburbs of Chicago
- Ability to work remotely at first, then transition to in-office
- Comfortable learning new systems, processes, and solar/construction terminology
- Ability to pass a background check
Preferred
- Experience supporting teams in construction, trades, field services, or solar installation
- Familiarity with scheduling crews, coordinating customer appointments, or supporting project workflows
- Basic understanding of solar energy, remodeling, or home improvement industries
- Proficiency with tools like Energy Toolbase, Helioscope, CRM/Project Management software (training provided)
- Bachelor’s degree or relevant administrative training is a plus
