Senior Administrative Manager: Full-Time | New York City
Our client is a leading energy and climate policy research organization based in New York City. The organization sits at the intersection of academia, government, and industry, producing rigorous, nonpartisan research and convening senior decision-makers across the public and private sectors. The organization works on issues ranging from energy transition and carbon management to global energy security and environmental justice. It is seeking a Senior Administrative Manager for a role based in New York City.
Position Summary
Reporting to the Chief of Staff, the Senior Administrative Manager provides high-level operational support to the Executive Director while managing a portfolio of strategic and administrative initiatives. This person serves as the connective tissue between the Executive Director's office and senior leadership across the organization, and manages key external relationships on the Executive Director's behalf. Key Responsibilities
Executive & Scheduling Support
Own all scheduling and organizational logistics for the Executive Director, proactively aligning the calendar with strategic priorities, flagging conflicts and risks, and ensuring the Executive Director is well-prepared for every engagement. Develop preparation timelines for major meetings and deliverables; serve as the primary point of contact for the Executive Director's immediate needs.
Stakeholder Relations & Communications
Manage relationships with the offices of senior government officials, corporate executives, foundation leaders, and donors. Draft clear, diplomatically calibrated correspondence with sound judgment on political and contextual sensitivities. Research and evaluate external engagement opportunities on behalf of the Executive Director.
Team & Operations Management
Directly supervise an Executive Assistant handling day-to-day scheduling, travel logistics, and expense reconciliation. Oversee performance review processes for the leadership team. Manage confidential matters with discretion and organize briefing materials and background documents for the Executive Director's meetings.
Special Projects & Strategic Planning
Lead execution of special projects — including advisory board meetings, donor committee convenings, and leadership retreats — managing timelines, cross-functional coordination, and communication to senior leadership. Support the organization's broader strategic planning process in partnership with the senior leadership team.

Minimum Qualifications
- Bachelor's degree and at least four years of relevant experience
- Proven ability to manage complex, competing priorities in a fast-paced environment
- Strong written and verbal communication skills with high emotional intelligence
- Discretion in handling sensitive and confidential matters
- Proficiency in Microsoft Office Suite and Google Workspace
- Commitment to diversity, equity, and inclusion
- Some evening and weekend availability required
- 10+ years of experience; Master's degree
- Background in policy, research, or mission-driven organizations
- Familiarity with energy and climate issues
- Experience with Salesforce, Concur, or project management tools
