Summary:

The Accounts Payable Specialist’s work focuses on variety of tasks to help the Accounts payable team, including but not limited to invoice to PO matching. Invoice data entry/posting. Analysis skills necessary to carry out solutions for typical issues in accounts payable. Skill in desk management and prioritization and should be able to handle volume. It also includes maintaining and managing the AP Mailbox. Vendor statement reconciliation, communications with the vendor to resolve invoices issues.

Essential Duties:

  • Performs function of receiving, reviewing, processing and reconciling supplier invoices.
  • Uses 3-way matching of invoices, purchase order and packing slip.
  • Prepare vendor account reconciliations - supplier statements vs. PENA Payables.
  • Ensure expenses are charged to the proper department and make any necessary reclassification journal entries .
  • Troubleshoot and resolve invoice discrepancies by working with Indirect Procurement, Receiving, Corporate AP and vendors.
  • Prepare supporting documents for month end accounting journal entries as assigned for month-end close.
  • Preparation of schedules and reporting and analysis as assigned.
  • Prepare journal entries for Invoice accruals and re-class.
  • Other Data entry/data mining tasks as assigned.
  • During training employee is required to be on-site fulltime, afterwards hybrid working schedule is allowed as appropriate.

Personal Protective Equipment (PPE)Requirements:

  • To ensure the health and safety in the workplace and for the protection of our employee’s, wearing PPE is a requirement for some roles at PENA and may include equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit that includes a respirator.

Qualifications: Requirements - Required and/or Preferred

Education:

  • Basic/Required: High School Diploma, GED, or equivalent

Essential Qualifications:

  • Minimum of 2+ years of Accounts Payable experience, preferably in a manufacturing or similar environment.
  • Follows procedures put in place by the finance team to compile data into worksheets and databases.
  • Strong customer service skills including excellent verbal, written, analytical, and interpersonal skills.
  • Responds to inquiries from other departments in a timely manner.
  • Capable of handling confidential information in a responsible manner.
  • Flexibility and multi-tasking capabilities.
  • Detail oriented.
  • Highly organized and able to follow a systematic method of performing a task.
  • Strong data entry skills.
  • Ability to collaborate with and form teams.

Responsibilities

  • Accounts Payable Responsibilities: 75%
  • AP Mailbox & Desk Management: 25%

Preferred Qualifications:

  • Knowledge of SAP, Oracle or another fully integrated ERP system preferred but not required.
  • Build strong relationships and collaborate well at all levels.
  • Demonstrate ability to take initiative, successfully handle and prioritize multiple competing assignments, and effectively manage deadlines.
  • Resilient, self-motived and able to work well under pressure.
