The Procurement Assistant coordinates activities involved with procuring goods and services such as raw materials, equipment, tools, parts, supplies, and advertising, for organization by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Supports activities in establish an account with a new supplier.
  • Confers with suppliers to obtain product or service information such as price, availability, and delivery schedule.
  • Monitors physical inventory level of all assigned raw materials and spare parts to ensure that they are available at all the times. Assist activities so that purchases of all products raw material and components meet the company’s quality standards.
  • Monitors production forecasts and Oracle database for material use requirements and generates purchase orders based on need dates and desired inventory level assigned to each material.
  • Reviews purchase requisitions for items and services generated by other departments, conducts cost/supplier comparison with estimates according to knowledge of market price, generates purchase order for suppliers, and enters in Oracle database.
  • Cooperates with all departments for the procurement of the right material and supplies, of the right quantity, at the right time and at the right price. Ensures that all raw materials, supplies, and services are available at all the times; expediting delivery when required. Advises other departments regarding conditions affecting material availability and prices as needed.
  • Interacts with suppliers regarding quality concerns to resolve issues for now and future. Assist in the disposition of all discrepant material.
  • Maintains appropriate and required procurement records for all materials and services purchased.
  • Participates in physical inventory activities as needed.
  • Travel as required.
  • Assist the tool crib to be efficient for all parties involved.
  • Keeps up to date on purchasing techniques.
  • Coordinates meetings/guest functions as needed (errand, drinks/food, etc.)

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); At least one year of experience and/or training and/or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES
Computer literate. Ability to communicate and work with others in professional manners.
