Our Water Operations and Resilience team is currently seeking to appoint an Executive Assistant to provide administrative and management services to the Executive Director (ED) and their Directors, to support the efficient and effective operation of the Division and the optimal utilisation of the ED’s time and resources. The role also provides executive support to the Directors in the Division
Key Responsibilities
- Provide high-level, confidential executive and administrative support to the Executive Director and Directors, including preparing correspondence, reports, presentations and briefing materials
- Manage complex and dynamic calendars, prioritising competing demands, triaging requests and ensuring urgent matters are addressed promptly
- Proactively coordinate meeting schedules, agendas and materials, ensuring the Executive Director is fully prepared for meetings, forums and events
- Collaborate closely with the Executive Officer and Executive Coordinator to streamline workflows and support efficient divisional operations
- Prepare, format and collate documentation, undertaking background research to support informed decision-making
- Build and maintain strong relationships with internal and external stakeholders, including senior government offices, ensuring a professional and client-focused service
- Support and coordinate divisional initiatives, projects and programs as required
Key Challenges
- Managing highly confidential, politically sensitive and time-critical information with discretion and sound judgement
- Delivering accurate, high-quality outputs under tight deadlines and competing priorities in a fast-paced environment
- Providing innovative and practical solutions for ad hoc requests where processes may not exist
- Maintaining strong stakeholder relationships and consistent processes while navigating a busy and complex executive office environment
About You
- You are an experienced Executive Assistant or administrative professional with a strong track record supporting senior leaders in a fast-paced environment
- You bring sound knowledge of government processes, protocols and administrative procedures, with the ability to apply them effectively
- You are highly organised and proactive, with exceptional time management skills and the ability to manage multiple competing priorities
- You demonstrate professionalism, discretion and integrity, particularly when handling sensitive or confidential information
- You are a confident communicator, able to liaise with senior stakeholders and produce clear, well-structured written materials
- You are solutions-focused, adaptable and calm under pressure, with the ability to think on your feet and solve problems effectively
- You have strong technical skills, including advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and systems such as CM9
- You are collaborative and relationship-focused, with a commitment to delivering high-quality service and outcomes
