NRDC is a non-profit environmental advocacy organization. We use law, science, and the support of 3.1 million members and online activists to protect the planet's wildlife and wild places and to ensure the rights of all people to clean air, clean water, and healthy communities. NRDC was founded in 1970 and our people helped write some of America's bedrock environmental laws, including the Clean Water Act and many of the implementing regulations. The NRDC Action Fund is an affiliated but separate 501(c)(4) organization from the Natural Resources Defense Council (NRDC) with an annual budget of over $20,000,000. The NRDC Action Fund’s mission is to build political support in the United States for protecting the planet and its people. We mobilize influential constituencies, experts, community leaders, and others to advocate for clean air and water, public health, biodiversity, and a stable climate. We support candidates who stand up for environmental protection, and we expose those who side with polluters rather than the public good.


NRDC is seeking an Administrative Assistant to work with the Center for Policy Advocacy and NRDC Action Fund teams in our Chicago or Washington, DC office.

Position Summary

NRDC is seeking an Administrative Assistant in our Chicago or Washington, DC office to work with staff from the Center for Policy Advocacy and the NRDC Action Fund. This administrative position must be able to efficiently handle administrative tasks such as scheduling and coordinating internal and external meetings; coordinating and booking travel; processing invoices and contracts; processing expenses, helping manage budgets, performing basic research, proofreading and preparing written materials.

Responsibilities:
Administration
  • Provide administrative support including:
    • Making travel arrangements and creating, submitting expense reports and reimbursement requests to outside organizations;
    • Scheduling both internal and external meetings;
  • Proofread emails and written documents;
  • Process invoices;
  • Serve as note-taker for various team meetings and discussions;
  • Support staff with applications such as SharePoint/OneDrive, TEAMs, etc.;
  • Assist other program and operations assistants as needed.
Contracts Management
  • Format and proofread draft contracts; and
  • Process invoices for compensation in accordance with consulting agreement terms.

Event Planning
  • Support coordination, scheduling, event planning for multi-stakeholder coalitions and team planning meetings.
Budget and Grants Management
  • Support the development of discretionary budgets for various grant proposals and reports, as requested; and
  • Work with Development and Finance staff to analyze grant period expenses and facilitate incoming grant/gift allocations.
Institutional / Office Activities
  • Actively participate in office and institutional activities as time permits, and
  • Support efforts surrounding diversity, equity, and inclusion efforts.
Qualifications:
  • Commitment to NRDC’s mission and values.
  • Ability to maintain composure and sense of humor under deadline pressure,
  • Bachelor’s degree preferred,
  • 1-2 years of previous administrative (or equivalent) preferred,
  • Demonstrated ability to perform or quickly learn tasks such as those listed above,
  • Ability to prioritize and efficiently execute multiple tasks, follow institutional procedures, and work independently with meticulous attention to detail,
  • Excellent written and verbal communication skills,
  • Superior editing and research skills,
  • Commitment to accuracy and rigor,
  • Ability to maintain confidentiality and work discreetly with sensitive information,
  • High proficiency with Microsoft Office, including Word, Excel, and Outlook,
  • Strong facility with spreadsheets and databases, and experience with accounting and finance systems,
  • Experience using platforms such as Teams, SharePoint, Okta, Zoom, Concur, PowerBI, G-Suite, Dayforce, Agiloft, Replicon, and Asana.

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. For this position, the salary is $50,000 to $55,000.

Since March 2020, NRDC’s offices have been closed due to the COVID-19 pandemic. You will be associated with one of our offices, but until circumstances allow us to re-open, we will continue to support NRDCers with remote working arrangements.
