About the Position


Summary: We are looking for someone who loves solving problems and who feels excited about taking on a leadership role in a flexible and adaptive organization. We need someone who feels confident taking initiative and managing in multiple directions. The ideal candidate can track and deliver on multiple streams of detail-oriented work and develop new systems for responding to shifting conditions. Our work fits best with people who welcome the creative and relational aspects of working across differences in personalities, and who relish the responsibility of making things happen under changing circumstances. You will support the leadership team and staff in managing the organization, including logistical and administrative systems, office operations, staff and volunteer integration, and executive task management.


Location and Timing: This is a hybrid position at the office on Lake Street for at least 3 days a week on Tuesday, Thursday and some Fridays. Some weekends will be required.


Compensation: $60,000 per year has been budgeted for this salary. Part time candidates who can work flexible hours will be considered. DetailsOffice Management (50%)

This role will include a myriad of tasks, including, but not limited to: systematizing, monitoring and responding to electronic communications which can include donations, bank statements, grant letters, utilities, rental payments, ect; the processing of physical mail at the office; full processing of donations on the Climate Justice Commons (CJC) NationBuilder software, and working with CJC’s accountants for proper documentation of accounts, in addition to follow up correspondence with donors. This role will require interfacing with donors and collaborators in a professional and timely way, including creating end of year donation tax letters, and collaborating with CJC’s accountants on the annual audit. Triaging the CJC google phone line, and responding appropriately. This position will be expected to set up the staff meetings and retreats, maintain a set of guidelines on the physical office space, and support staff with internet connectivity and emerging issues.


The Office Manager will also need to work with other organizations in the building to coordinate the purchasinge of supplies, servicing of the shared printer, and trouble shooting space reservations and logistics. They will also be in charge of general organization of CJCs office and outreach supplies, creating and coordinating tabling boxes when needed, and organizing storage spaces.


Executive Leadership Team Support: (25%)


This role will be supporting the leadership team of the CJC to succeed in managing a myriad of opportunities and requests. Your tasks will include but are not limited to creative campaign design and implementation, triaging and responding to executive director email, scheduling events, creating systems of support to manage relationships, and creative problem solving regarding staff and volunteer integration.


Outreach Integration: (25%)


You will also work to coordinate with staff internally (and sometimes with partner organizations) to support events and ensure digital support for our work. You will train and manage a small cadre of volunteers who will help with speaking, tabling and phone outreach. You will be available, on some weekends, to staff outreach events for the organization. 

Ideal Candidate


This role requires taking responsibility for creating a functioning office space that both processes incoming requests and serves the staff in integrating their work into a systemic database. We are searching for someone who will help us be organized and successful in a myriad of ways. The ideal candidate is someone who is able to remain organized among many tasks and people. This role requires you to be the central switchboard operator between staff, accountants, partners, volunteers and vendors. Timely communication, and reliable follow through will be critical to success, in addition to comfort with flexibility and ambiguity. 


Relevant Previous Experience May Include
  • Minimum 2yrs+ office management experience in an organization with a diverse portfolio of programs
  • Minimum 2yrs+ fiscal accountability tasks and experience working with/for accountants
  • Donor management experience including CRM knowledge (NationBuilder a plus, but not required), donor communications, and fundraising
  • Volunteer coordination
  • Administrative assistant experience for a leadership team
  • Proficiency in Google Suite Products
  • Some experience with faith communities
