We are seeking a Front Desk Coordinator to join our Emerald Initiative team in our Seattle office - someone who is highly organized, service-oriented, and thrives in a fast-paced, people-facing environment.
This role is central to maintaining a positive and professional first impression of McKinstry, providing exceptional front desk support and administrative coordination that helps ensure the smooth day-to-day operation of the office. You’ll serve as a key point of contact for employees and visitors, while also supporting a range of office services including mail and package handling, copier and printer coordination, and general administrative support.
Reporting to the Facilities Manager, this role partners closely with the Facilities team and collaborates with regional front desk teams across McKinstry locations (e.g., Spokane, Portland), as well as a wide range of internal employees and external visitors.
This role is based in Seattle, WA and is fully onsite, Monday through Friday, with a work schedule of 7:00 AM – 4:00 PM.

The pay range for this position is $21.00 – $33.00 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This is a non-exempt role and will be paid hourly. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. Base pay information is based on market location.

Key Responsibilities
Front Desk Support
- Deliver accurate, high quality and timely results
- Answering incoming general phone calls & forwarding to appropriate department/individual.
- Receive, sort & schedule pickup of mail/FedEx/UPS.
- Visitors, visitor badging & visitor log, including notifying McKinstry teammate of visitor’s arrival.
- rganization/cleanliness of front desk area.
- Point of contact for deliveries.
- May perform other Front Desk activities as requested
- Assist with copy/print orders.
- Manage vendor access and log, notifying McKinstry teammates, managing vendors.
- Assist with coordination of client events, internal office events, and project events.
- Badging assistance.
- Monitor, respond to & distribute emails.
- Assist in coordinating facilities requests.
- Manage office supply & breakroom inventory and upkeep.
- New employee activation.
- May assist in other project activities as requested
- Provide excellent customer service and develop strong internal customer partnerships with key internal clients.
- Act as a liaison for the team, assisting with projects and administrative tasks.
- Communicate with McKinstry departments as needed to achieve shared business objectives.
- Responsible for communication and sharing of information and best practices across team members.
- Participate in purposeful outreaching and connecting to departments and regions.
- Perform other duties as assigned.
- 2 years of relevant experience, preferably in office, customer service, or equivalent position.
- Advanced degree in a related field preferred.
- Intermediate working knowledge of Microsoft Office products, including Word, Excel, and Outlook.
- Strong communication skills to exchange straightforward information.
- Ability to follow basic work routines and standards in the application of work.
- Experience working with virtual and matrixed teams is preferred.
