The Opportunity with McKinstry

We are seeking an experienced Construction Project Coordinator to support our Distributed Energy team. This role partners closely with Operations Managers, Project Managers, and Site Managers to provide administrative and logistical support across all phases of project execution.

The ideal candidate is detail‑oriented, dependable, and an effective problem solver with strong communication skills. Responsibilities include coordinating project tasks and workflows, preparing documentation and reports, and supporting internal and external project stakeholders.

This position plays a key role in maintaining operational continuity by ensuring contractual and regulatory documentation is accurate, current, and compliant, while also serving as a liaison between the project management and our internal teams.

Responsibilities

  • Various corporate administrative responsibilities. 
  • Responsible for supporting project teams and their project portfolios including communication to all project stakeholders 
  • Work with the Project Team to resolve issues 
  • Responsible for assisting with setting up project office trailers, project kick off binders and coordinating kick-off meetings. 
  • Responsible for digital project document management which includes utilization of Procore, SharePoint and additional software platforms. 
  • Responsible for management, tracking and logging of submittals, RFI’s, client and subcontractor invoices, Daily Reports, and other critical construction documents or communications.
  • Attend various project meetings and generation and distribution of agendas, meeting minutes and supporting documentation when required. 
  • Work with project teams to develop project closeout documentation including but not limited to warranty, O&M and training manuals.
  • Assist Project Manager with monitoring and managing project financials including budget adjustments and monthly project reviews
  • Assist with job-set-up, close-out and intermediate financial and accounting support.
  • Assist with the management of vendors including the generation and issuance of purchase orders, subcontracts and change order as required to support project procurement.
  • Assist Project Manager with project schedule review including look ahead schedule and generating schedule variance reports. 
  • Assist with helping coordinating subcontractor pre-qualification requirements.
  • Responsible for compliance review as it pertains to pay applications, waivers and supporting wage documentation.

What You Need To Succeed At McKinstry

  • Knowledge of construction concepts required.
  • Ability to read and interpret construction plans, specs, contracts, proposals, estimates, and other regularly encountered items required.
  • BA/BS degree in Construction Management, Mechanical Engineering, Electrical Engineering, Architecture, Facilities Management or comparable degree—or equivalent work experience required.
  • Intermediate knowledge of Microsoft Word, Excel, Outlook and Project required; working knowledge of SharePoint preferred.
  • Customer service and/or office administration experience preferred.

The pay range for this position is$24.36 - $35.35per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This is a non-exempt role and will be paid hourly. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. Base pay information is based on market location.
