About This Position
The Program Registrar oversees all aspects of the registration process for programs at Ipswich River Wildlife Sanctuary in Topsfield, Joppa Flats Education Center in Newburyport, and other Sanctuaries and programs across Essex County. The Program Registrar provides excellent customer service through phone, email, and in person communications, and maintains the professional standards of Mass Audubon. This position serves as the liaison between the North Shore Education Department and the schools and organized groups booking a program or visit. The role has an important and integral role as a customer-oriented ambassador of Mass Audubon properties, programs, and mission.

Responsibilities

  • Schedule and assist customers to register for North Shore educational programs, which includes school programs, group visits to the sanctuaries, summer camp, homeschool, and vacation week program; assist customers with registering for public programs
  • Assist with onsite registration for special events and/or fundraisers as needed
  • Answer participants’ and parents’ inquiries, issue invoices and bills, process payments, and follow up on unpaid charges
  • Enter and maintain program listings in the online program registration system and calendars
  • Act as liaison between school/groups and the North Shore region education department
  • Work with educational staff as needed to schedule programming and maintain education program and special events calendar
  • Run reports and queries and maintain integrity of data collected in the registration process; work with the IT team to troubleshoot and resolve any technical difficulties
  • Work with statewide education and/or operations team to collaborate on best practices and development of new procedures
  • Provide additional support to North Shore team as needed, including general visitor services support

Must Haves

  • At least 18 years of age
  • 1 year of related experience or equivalent
  • Strong verbal and written communication skills
  • Excellent people skills and enthusiasm for a team working environment
  • Proficiency in Microsoft Word, Excel, Outlook, Teams and ability to manage specialized databases as developed by Mass Audubon
  • A demonstrated ability to work well with other staff, volunteers, and community representatives as well as independently when necessary
  • CPR/First Aid Certification or willingness to get certification
  • Ability to relate to a diverse range of people and exercise cultural competence and inclusion

Nice to Haves

  • Associates degree or equivalent experience a plus
  • Experience in sales, experience in customer service, and detailed organizational skills preferred
  • Interest in environmental issues and/or natural history

Compensation, Benefits and Perks
This position’s pay range is $19.90-$22.33/hour; actual salary will reflect level of experience and qualifications relative to position requirements.

Work Schedule
Monday through Friday, between 3-6 hours per day for a total of 24 hours per week.

Other Requirements
Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
