About This Position
Are you passionate about supporting employees and fostering a positive workplace culture? Mass Audubon is looking for a dedicated and dynamic Human Resources Coordinator to join our team! The Human Resources Department provides Mass Audubon’s employees, partners, and vendors with daily customer service in areas related to recruitment, hiring, benefits administration, and employee relations. The Human Resources Coordinator will oversee administrative functions and office management duties within the department. The ideal candidate possesses a solid business acumen and the ability to work effectively in a fast-paced environment.

This individual has the capacity to work collaboratively within the Human Resources team and across the organization. The Human Resources Coordinator must be self-motivated, focused, eager to learn, and have a high sense of urgency while still paying very close attention to detail.

Responsibilities

General

  • This position provides primary back-up support to the Human Resources Generalist and the larger Human Resources team as needed
  • Review and maintain internal Human Resources checklists and tracking systems to monitor the lifecycle of seasonal employees, including start dates, changes, and termination dates
  • Assist with filing all electronic and paper personnel records
  • Conduct monthly audit of ADP data for seasonal staff, including updating missing and/or incorrect information and confirming end of assignment dates are recorded
  • Run time tracking reports in ADP to audit seasonal staff hours to monitor for compliance
  • Complete all electronic and paper employment verification requests for seasonal employees in a timely manner
  • Assist with scheduling for Human Resources staff as needed
  • Assist with the distribution and processing of Human Resources mail

Recruiting Support

  • Consistently manage all incoming inquiries in the Recruiting email inbox and address in a timely manner
  • Assist with processing job postings once approved for posting
  • Act as first point of contact to support seasonal hiring managers to address recruiting and hiring inquiries, including providing ADP assistance

Hiring and Employee Onboarding

  • Initiate ADP Onboarding for all seasonal new hires and rehires
  • Coordinate with hiring managers and supervisors on progress and responsibilities during the onboarding period
  • Track and complete all applicable onboarding tasks: perform background checks, complete I-9 forms, and submit driver record checks for all seasonal employees; ensure all employee fields in ADP are completed in a timely manner
  • Maintain consistent follow up with supervisors and employees to gather incomplete information and update inaccurate information
  • Maintain ADP onboarding experiences for seasonal new hires and rehires as needed and support Mass Audubon’s efforts to enhance the overall employee onboarding experience

Payroll Support

  • Intake and process all employee status changes for seasonal staff in a timely and proactive matter, including, but not limited to pay adjustments, supervisor changes, and terminations
  • Support payroll processing tasks for seasonal staff
  • Ensure that all seasonal biweekly timecards in ADP Workforce Now are accurate and completed in preparation for payroll processing, including approving Mass Sick Time requests

Other

  • Support updates to the Human Resources intranet site
  • Assist Human Resources staff to coordinate several events for staff throughout the year, including New Employee Orientation, manager trainings, and Mass Audubon’s annual All-staff Outing

  • Bachelor’s Degree in Business or Human Resources preferred, or equivalent work experience
  • 1 to 2 years of Human Resources experience
  • Excellent communication, interpersonal, and customer service skills, as well as an ability to relate to a diverse population and exercise cultural competence and inclusion
  • Ability to work effectively and calmly with short deadlines and to resolve customer concerns in a timely fashion
  • Can handle multiple deadline and priorities, moving from one priority to another, while completing projects on time
  • Ability to assess situations, preliminarily problem-solve, and proactively elevate as appropriate
  • To perform this job successfully, an individual should have proven experience with Microsoft Office products (Outlook, Teams, OneDrive, Word, Excel) and HRIS (preferably ADP Workforce Now)

Compensation, Benefits and Perks
This position’s pay range is $65,000-$75,000/year; actual salary will reflect level of experience and qualifications relative to position requirements.

Mass Audubon employees enjoy 13 paid holidays (holidays may shift annually due to where days fall within calendar).

Work Schedule
Full-time schedule of 40 hours, Monday through Friday.

Other Requirements
Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
