Role Purpose

The Administrative Associate provides day-to-day administrative and coordination support to Loam's USA team. This role ensures schedules are managed, documents are prepared, expenses are processed, and that coordination with vendors and stakeholders occurs smoothly during US business hours, while enabling effective collaboration across time zones. Your work keeps the USA team organized and running efficiently so they can focus on delivering Loam's mission. This role needs to be based anywhere in the USA.

Key Responsibilities & Outcomes

  • Provide Day-to-Day Administrative Support

Responsibility: Manage scheduling, correspondence, document preparation, filing, and general administrative support for the US team.

Outcome: A well-organized and responsive administrative function that enables the US team to operate efficiently.

  • Process Expenses and Support Financial Administration

Responsibility: Process expense reports, reconcile receipts, support invoice tracking, and assist with basic financial record-keeping in coordination with the Australia-based Finance team, including coordinating with US vendors as needed during local business hours.

Outcome: Accurate and timely expense processing and financial records that support operational accountability across regions.

  • Maintain Records, Documentation, and Compliance Files

Responsibility: Organize and maintain operational records, compliance documentation, and filing systems relevant to US business activities, including training and administrative records.

Outcome: Up-to-date, accessible records that support audit readiness and informed decision-making.

  • Coordinate Travel, Meetings, and Events

Responsibility: Book travel, prepare itineraries, schedule meetings (including across US and AU time zones), and coordinate logistics for conferences, trade shows, and team events as needed.

Outcome: Smooth, well-coordinated logistics that support team effectiveness and professional external engagement.

  • Support General US Operations

Responsibility: Coordinate with vendors and suppliers as needed to support US operations, manage incoming mail and deliveries, assist with employee onboarding logistics and recordkeeping, and support ad hoc operational tasks as required.

Outcome: Reliable administrative and operational support that contributes to a functional, well-supported US workplace.

Essential Knowledge, Skills & Abilities

Associate's or Bachelor's degree in Business Administration or a related field (or equivalent experience).

Minimum 1–2 years of experience in an administrative or office support role.

Strong organizational skills and attention to detail.

Excellent written and verbal communication skills.

High proficiency in Google Workspace (Docs, Sheets, Calendar, Drive).

Comfortable and experienced using collaboration tools such as Slack and Notion.

Ability to work independently while maintaining clear communication and alignment with stakeholders.

Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

Desirable Knowledge, Skills & Abilities

Experience working in agriculture, climate tech, or sustainability.

Familiarity with expense management platforms (e.g., Airwallex, ApprovalMax, Dext).

Experience coordinating across multiple time zones.

Interest in carbon markets, soil health, or microbial technology.
