POSITION TITLE: On-Site Administrator / Office Manager/ Bookkeeper
LOCATION: 414 Chapel Street, New Haven, CT
HOURS: Monday – Friday, 9:00 AM – 5:00 PM
COMPENSATION: $25 – $30 per hour (based on experience and education)
Position Summary
Lionheart Energy is seeking a highly organized and professional on-site administrator to support daily operations at our 414 Chapel Street EV infrastructure project. This is a pivotal role managing administrative, documentation, scheduling, and project coordination functions within a fast-paced, compliance-driven environment. You’ll be a key point of communication between our technical team, subcontractors, vendors, and utility companies such as United Illuminating and Eversource.
Key Responsibilities
Maintain the on-site project office and act as the first point of contact for all administrative and bookkeeping needs.
Manage document control for all permits, utility incentive applications (UI/Eversource), and project checklists (including ENERGY STAR HVAC documentation).
Track and update Excel-based schedules, Gantt charts, EV charger inventory logs, and commissioning checklists.
Upload and manage project documentation through Google Drive, Salesforce, and utility portals (UI EV Portal).
Schedule inspections, commissioning sessions, contractor meetings, and track milestone completions.
Prepare and maintain daily reports, punch lists, invoice summaries, and application support documentation.
Handle professional communications with customers, vendors, and public officials.
Assist in data entry and preparation of incentive applications and utility-side make-ready documentation.
Monitor project deadlines and issue reminders or escalations when tasks are due or delayed.
Coordinate with field teams and techs on site readiness, including verification of installations, LOAs, photos, or charger IDs (e.g., via Loop App).
Bookkeeping duties.
Required Qualifications
Minimum 3 years administrative or office management experience in construction, energy, or real estate development.
Proficient in Microsoft Excel (formulas, filtering, formatting), Google Drive (Docs, Sheets, Forms).
Excellent written and verbal communication skills.
Strong attention to detail, ability to manage multiple priorities and meet deadlines.
Familiarity with CRM platforms such as Salesforce Monday.com or similar tools.
Professional, proactive, and comfortable working in a construction-adjacent environment.
Previous bookkeeping experience.
Preferred Experience
Background in project management, especially involving government incentive programs or utility coordination.
Familiarity with EVSE (Electric Vehicle Supply Equipment) programs, especially those offered by United Illuminating or Eversource in Connecticut. Or any knowledge of electric vehicles, charging or related topics.
Experience with ENERGY STAR Multifamily New Construction documentation or HVAC commissioning processes.
