Position Summary
The Database Support Officer shall provide local database support to Malaysia in coordination and collaboration with the Regional Database Team. The Officer shall be the first point-of-contact for database related issues/concerns and support requests. This is to ensure local support for the growing Malaysia Team and Supporter-base.
This position is operationally managed by the Regional Database Manager but demands a high degree of coordination and line management with the assigned Senior Coordinator for Malaysia. The nature of the work is such that they must be inquisitive about all areas of fundraising, engagement and programme to understand the strategic direction of the country office and proactively seek statistics and analysis that will continually inform and push the boundaries of these strategies.
When needed, the role will be required to travel across the region in order to form relationships with the offices and staff and to understand firsthand the markets we operate in and the audiences that have potential to support the organization.
Duties and Responsibilities:
Purpose.
Conceptual.
- Provide First-level Technical support of database platform/system.
- Facilitate the effective import/export of data to the database platform/system from external systems and/or agencies.
- Supports the general maintenance of the database and systems.
- Ensures the effective of integration between our database and any other databases.
- Support of the assigned local project/s.
- Collaboration with internal team, other units and external providers.
- Prepares documentations of all database procedures and guidelines.
- Assists with all aspects of the monthly debit, as and when required.
- Participates in the planning process as required.
- Provide any information, which will help key stakeholders in their planning and budgeting processes.
- Develop and manage the database strategies and plans required to facilitate stakeholders and maintain effective workflow of the database team.
- Ad-hoc tasks which may be assigned from time to time.
Applied
- First-level Analysis and Troubleshooting of platform/system issues.
- Assisting and providing the user training when required.
- Gathering user feedback for platform/system improvement and development.
- Escalating any issues when necessary.
- Ensures data integrity.
- Provide data providers with specifications of data file requirements as needed.
- Assist key staff to identify what data they needed to capture and record on the database and determine the best structure.
- Ensure that users are aware of the requirements for the effective use of our database systems when collecting new data, via all data capture media.
- Local database security in collaboration with Information Security.
- Ensures the effective of integration between our database and any other databases.
- Provides and maintains reports and dashboards.
- Regular Monitoring and Performance reports.
- Custom/ad hoc reports as required.
- Collaborates with the relevant Key Data audience members to assist in providing analysis of and provide feedback to stakeholders on the success of campaigns.
- Conduct regular analysis of data to ensure effective usage of data.
- In collaboration with the Senior Coordinator/s, assist in preparing all database platform/system related documentation, including database procedures. process maps and specifications for all customizations.
- Assist end users in the development of procedure documentation associated with the use of our database and associated systems.
- To be able to conduct the monthly debit when required, and to fix any problems that may arise, including reversing incorrect debits and resolving problems with online processing applications.
- To improve the debit process to minimise errors, and to document such procedures.
- Provide any information, which will help key stakeholders in their planning and budgeting processes as needed.
- Assist in the processing and reconciling on invoices from 3rd party partners in Malaysia.
- Ad-hoc tasks which may be assigned from time to time.
Engagement.
Internal
- Coordinates and/or collaborates with members of the Regional Database Team, members of the Fundraising Team and/or other Greenpeace Southeast Asia or Greenpeace International staff.
- Collaborates with the Regional Technology Support Coordinator on project scheduling and coordination.
- Engages with project leaders/managers, stakeholders and business users.
- Collaborates with the relevant Key Data audiences and/or stakeholders.
- Provides support to fellow members of the Regional Database Team.
- Supports the local Fundraising leadership team in collaboration with the Senior Coordinator/s and/or Assistant to the Fundraising Director.
External
- Coordinate with external agency on report submission, invoice or donor data records.
- Coordinate with vendors and suppliers.
- Engage with vendors, external providers and suppliers.
- Escalate any issues/blockers to vendors, external providers and suppliers.
Delivery.
Timeliness
- Timely resolution of issues/queries related to the platform/system.
- Timely submission of reports, presentations, documents, invoice processed for payment.
- Assist the respective Supporter Care teams for the timely and accurate delivery of Monthly Debit reports.
Quality
- Accurate submission of donor/agency reports, invoice for payment, or any other presentation/report/document needed.
Job Requirement:
- University graduate of Bachelor’s Degree.
- At least 2 years’ experience in handling and managing complex data processing with CRM Technology support experience.
- At least 2 years’ experience in working for Greenpeace, other Non-Profit in a support capacity, or Private sector experience in Sales/Marketing Operations, Data Support capacity.
- Excellent English communication skills is required.
- Experience in Data Mining and Analysis, Reporting and Dashboard Management.
- Good data/reporting presentation skills is a plus.
- Knowledge and/or experience in using Salesforce CRM, GCP, AWS Certification (a plus).
- Knowledge and/or experience in fundraising markets and practices (a plus).
- Knowledge and/or experience in Advanced Excel is required.
- Knowledge and/or experience in database systems, reporting and management.
- Knowledge and/or experience in strategic alignment and linking the direction of units/projects to organizational objectives.
