PURPOSE and SCOPE OF THE JOB:
The Fundraising Administration Coordinator provides vital administrative and project coordination assistance to the Donor Acquisition & 1st Year Journey team in Greenpeace East Asia (GPEA). This will enable the effective functioning of the Fundraising Team (Donor Acquisition & 1st Year Journey) day-to-day operations management and the fulfillment of the Fundraising Team’s goals. This position will provide administrative support, proactive coordination of specific projects, and direct communication for the Fundraising Team work.

RESPONSIBILITIES

1. Communication and reporting

  • Proactively keep informed about developments within Greenpeace with respect to HR practices, fundraising, and campaign development;
  • Coordinate, produce, and distribute meeting minutes, planning notes, background papers, presentations, and/or internal and external reports in order to ensure relevant materials and information are available on a timely basis.
  • Support and maintain an updated and informative internal website for the 1st year journey Team (e.g.Direct Dialogue team) in order to keep the 1st year journey team knowledgeable on current internal fundraising projects, timelines, and external developments in their relevant areas.
2. Project Support

  • As instructed by the line manager, support specific projects (e.g. Direct Dialogue and Telefundraising Project in CRM system, Regional Direct Dialogue/Telephone Team Newsletter, DD & Telephone Team training powerpoints, Direct Dialogue & Telephone Team Employee manual, etc.) related to the Fundraising Team and functions in the organization.
  • Coordinate and lead a small-scale project of the 1st year journey team with direction from the line manager.
3. Administration

  • Manage the day to day administration for Direct Dialogue & Telephone program (e.g. data tracking, ensuring data quality and accuracy of donor information)
  • Oversee payroll process for Direct Dialogue & Telephone program in relevant GPEA market
  • Prepare and monitor stock levels of materials required for the management of the DD program
  • Maintain data quality and accuracy of donor information – tracking and recording errors to report to the Data Team for the follow-up.
  • Quality check via telemarketing when appropriate for data quality checking purpose.
  • Prepare Greenpeace fundraising employee materials (e.g. employee badges of identification promotional folders).
  • Assist in Direct Dialogue & Telephone Team new recruitment including posting advertisements, monitoring recruitment results, contacting relevant job boards or employee centers
  • Assist in any other administrative work related to the 1st Year Journey Team.
4. External Communication

  • Keep informed of fundraising developments in order to filter communication to the relevant parties and provide direct response appropriately.
5. Ad-hoc support for the department

  • Provide ad-hoc support for different areas in the 1st Year Journey Team, as instructed by the line manager.
Requirements:
  • University graduate. Bachelor’s degree in human resources or related fields is preferable.
  • Minimum of 1 year of experience in individuals fundraising, administration, or support for senior management.
  • Knowledge and experience in non-governmental organizations (NGOs)
  • Knowledge and/or experience in environmental issues
  • Knowledge and experience in coordination, logistics, and project management
  • Good interpersonal communication skills
  • Strong writing skills in Chinese
  • Working knowledge and experience in Microsoft Word, Excel, PowerPoint, Project management tools, and other office collaboration tools.
  • Fluency in written and spoken English and Chinese
