SENIOR EXECUTIVE ASSISTANT TO THE CEO

Role: Full time, Permanent Position

Location: Sydney based preferred, but open to considering candidates based Australia wide for the right candidate


THE ROLE


As the Senior Executive Assistant, you’ll act as the right hand to the CEO, ensuring their time, energy, and focus are directed toward the priorities that matter most. You’ll oversee the smooth administration of the Office of the CEO (OCEO), provide administrative support to the Chief Operating Officer (COO), provide high-level governance support to our Board and Company Secretary, and help translate strategic priorities into effective action.


Your work will be integral to maintaining strong alignment and effectiveness across the CEO, COO, Leadership Team, and Board, as well as supporting the CEO’s engagement with key external partners, from government and industry leaders to philanthropists and Greenpeace allies.


Key responsibilities include:


  • Provide proactive, high-quality executive support to the CEO, including diary management, travel coordination, meeting preparation, correspondence, and reporting.
  • Coordinate communications and workflows across the CEO, Leadership Team, and Board to ensure clarity, focus, and accountability.
  • Support Board and subcommittee operations, including scheduling, agendas, minutes, and follow-up actions.
  • Partner with the COO on tracking strategic initiatives and ensuring organisational alignment.
  • Maintain strong relationships with key internal and external stakeholders, acting as a trusted representative of the CEO and the organisation.
  • Develop and refine administrative systems and governance processes that enable efficiency, transparency, and compliance.
  • Occasionally accompany the CEO to key meetings or events to provide direct support on an ‘as needed’ basis.


THE TEAM


This role sits within the Office of the CEO (OCEO), which works across every part of the organisation to realise Greenpeace’s bold vision for a green and peaceful future.


At the centre is the Chief Executive Officer (CEO), who provides leadership, vision and strategic direction to Greenpeace in accordance with our core values and purpose, in cooperation with Greenpeace International and the Greenpeace Network. The Chief Operating Officer (COO) supports operational delivery and cross-departmental coordination, while the other members of the executive Leadership Team (LT) lead the delivery of campaigns, communications, engagement, fundraising and technology.


Alongside them, you’ll collaborate closely with:


  • The General Counsel - Organisational Development / Company Secretary, who ensures strong governance, compliance, and organisational integrity, and oversees Board operations and subcommittees - this role reports into our General Counsel - Organisational Development / Company Secretary; and
  • The Board of Greenpeace Australia Pacific, a diverse group of leaders who guide the organisation’s direction and uphold the Greenpeace network’s global standards.


Together, this team is focussed and deeply committed to collaboration, impact and working with a shared sense of purpose while fostering a workplace built on respect, innovation and trust.


You’ll be the connective tissue that keeps this leadership ecosystem functioning smoothly; enabling clear communication, steady coordination, and effective decision-making and implementation across the CEO, the Leadership Team, and the Board.


THE IDEAL CANDIDATE


You’re a seasoned professional with a sharp eye for detail and a calm, solutions-focused mindset. You thrive on bringing clarity to complexity, anticipating needs before they arise, and working with integrity and discretion.


You’ll ideally also have:


  • Proven experience, of at least 3+ years in a high-level executive support role, ideally supporting a CEO or executive team.
  • Strong skills in relationship management, organisation, and project coordination.
  • Professional maturity, political awareness, and emotional intelligence in dealing with senior internal and external stakeholders.
  • Exceptional communication skills and high proficiency with Microsoft Office, Google Workspace, and project management tools.
  • A deep commitment to Greenpeace’s mission and values, and a desire to make your professional impact count for the planet.

Annual full-time salary: $101,272.80 per annum plus 12% superannuation.
