HIGH-VALUE FUNDRAISING ADMINISTRATOR
Role: Full time, Permanent Position
Location: Ideally Sydney based, working hybrid out of our head office, Rainbow Warrior House (RWH) in Rosebery. 2 days per week onsite, 3 days working from home. Melbourne based candidates may be considered if they are the right fit.
THE TEAM
The High-Value Fundraising Administrator sits within our High Value Fundraising team, supporting a range of programs from Gifts in Wills to Major Gifts. The High Value team works with existing and new supporters who can give significantly and help us grow our impact. As Greenpeace campaigns are 100% funded by individual supporters, it is vital that we grow our base of supporters and donors so that we can remain fiercely independent as we fight together for our fragile planet and the magnificent diversity of life that call it home.
Our team facilitates key streams of financial support to fund high-impact campaigns that provide a voice for this fragile planet. Greenpeace is and always will be independent which means that we never accept any money from any government, business or political party.
THE ROLE
Do you have a passion for protecting the planet and a knack for seamless administration?
As our High-Value Fundraising Administrator, you will play a critical role in supporting the success of the High-Value Team, which includes our Major Gifts and Gifts in Wills programs. By providing top-tier operational, administrative, and database support, you will help us effectively engage, steward, and grow relationships with our most significant supporters.
Your razor-sharp attention to detail and proactive approach will ensure our donors receive an exceptional experience, ultimately enabling our team to meet ambitious fundraising goals.
In this role, you will champion efficiency across three key areas:
1. Administration and Project Support
- Track, process, and receipt donations promptly; manage invoices, expense reconciliations, and supplier payments.
- Prepare weekly trackers, monthly performance reports, and annual benchmarking data for the Fundraising & Technology Director.
- Coordinate team meetings, agendas, travel arrangements, and itineraries to ensure cost-effective donor visits.
2. Stewardship Operations & Donor Communications
- Act as a professional point of contact for high-value supporter enquiries, managing requests with sensitivity and urgency.
- Prepare and distribute highly personalised donor correspondence, including welcome packs, thank-you letters, pledge reminders, and impact reports.
- Provide logistical support for donor cultivation events and meetings, managing venue sourcing, catering, guest lists, and materials.
3. Data Integrity & CRM Management
- Keep donor records meticulously up-to-date, logging meeting notes, actions, and gifts within a swift 24–48 hour window.
- Monitor data quality, resolve duplicate records, and map relationships to maintain a clear picture of our supporter networks.
- Create and update operational documentation, process guides, and team resources.
THE IDEAL CANDIDATE
We are looking for someone with exceptional written and verbal communication skills, with a proven ability to build trust with both internal teams and external supporters. You’ll have brilliant time-management and problem-solving skills, with the ability to manage competing priorities.
You’ll ideally also have:
- At least 1 year of experience in a similar administration or coordinator role.
- Experience in stakeholder management and customer/donor service.
- A relevant tertiary qualification or equivalent professional experience.
- Experience in the Not-For-Profit sector or event coordination is highly desirable.
- High competency in Google Suite (Docs, Sheets, Slides, Drive) and Canva. Familiarity with CRM systems like Salesforce is a major plus.
- Fast, accurate data entry skills and familiarity with basic financial administration (invoices, expenses).
- A general knowledge of and passion for environmental movements, history, and politics.

Annual full-time salary: $77,793.00 per annum plus 12% superannuation.
