Your organizational expertise, proactive mindset, and commitment to excellence will empower our co-founder so that he can focus on high-value activities that fuel exceptional growth in a high-impact industry. This position is part time (15-20 hours/week) and will be based out of our Bend office.

The Role:
We're looking for a sharp, proactive Executive Assistant to support one of GreenKey Solar's and Renewable Acres’ co-founders. This is a part-time role (15–20 hours per week) with a real growth trajectory. We're not just looking for someone to manage a calendar. We're looking for someone who wants to become a trusted extension of our co-founder, learning how he works, how he thinks, and eventually representing him in meetings, drafting and responding to emails on his behalf, and helping him operate at his highest level.

Who You Are:
- A communication powerhouse. You have exceptional written communication skills and can quickly learn to write in someone else's voice — matching tone, style, and intent.
- A filter, not just a funnel. You don't just pass everything through — you triage, prioritize, and surface what actually matters, so nothing important gets buried and noise doesn't become a distraction.
- A follow-through fanatic. Action items don't fall through the cracks on your watch. You track them, flag them, and close the loop — often before you're asked to.
- A context-switcher. You thrive in fast-paced environments where no two days look the same. Jumping between a development company and a construction company in the same afternoon doesn't faze you — it energizes you.
- Organizationally creative. You don't just maintain systems — you build them. When something feels chaotic, your instinct is to design a structure that makes it manageable.
- Emotionally intelligent. You read the room, adapt your communication style, and know when to push, when to hold, and when to just handle it quietly.

- High capacity, low ego. You take pride in being the person behind the scenes who helps someone else operate at their best. That's not a consolation prize to you — it's the whole point.
- Comfortable with ambiguity. In a fast-moving environment, the playbook is always being written. You're okay with that and good at figuring things out as you go.
- Gmail and Google Calendar proficiency. You know the shortcuts, you use them, and you have opinions about how an inbox should be organized.
- Familiarity with Fellow or similar meeting management tools is a plus. Experience with other productivity platforms (Notion, Smartsheet, etc.) is strongly preferred.
Your Responsibilities:
- To start:
- Manage and organize the co-founder's inbox in Gmail — triaging, flagging priorities, and drafting responses for review
- Own calendar management in Google Calendar — scheduling meetings, protecting focused work time, and resolving conflicts proactively
- Prepare agendas and capture meeting notes using Fellow, ensuring follow-ups and action items are tracked and completed
- Coordinate internal and external communications on behalf of the co-founder
- Handle scheduling logistics including travel, calls across time zones, and recurring meetings
- Manage ad hoc research, document preparation, and other organizational tasks as needed
- Curious about AI as a productivity tool. You've explored - or are eager to explore - how AI tools (like ChatGPT, Claude, or others) can help manage high-volume inboxes, draft communications, summarize information, and stay on top of action items. You see AI as a force multiplier, not a shortcut.
- Willing to join our co-founder in exploring new organizational methods and/or offer methods that you’ve used in the past and can help implement them. For example, reading books that the co-founder is reading, helping to synthesize and implement the information presented.
- As you grow into the role:
- Draft and send emails independently on behalf of the co-founder
- Attend meetings as his representative, taking ownership of follow-through
- Serve as a trusted proxy for lower-stakes decisions, freeing up his time for higher-leverage work
- Help build systems and processes that make him - and the broader team - more effective
- This role will evolve as trust is built. We're genuinely excited to invest in the right person and expand the scope of this position over time.

Qualifications:

- 2+ years of experience in an executive assistant, administrative, or chief of staff-adjacent role
- Proficiency with Gmail and Google Calendar — you know the shortcuts and you use them
- Experience with Fellow is a plus; familiarity with other productivity and organization platforms is strongly preferred
- Exceptionally strong written communication skills — you can write in someone else's voice and make it sound natural
- Proactive and self-directed — you anticipate needs before they're asked and don't wait to be told what to do next
- Discretion and professionalism when handling sensitive or confidential information
- Comfortable in a fast-paced, entrepreneurial environment where priorities can shift
- Interest in renewable energy or climate is a plus, but not required
