GGGI has been appointed as the implementing agency for several land- and sea-based climate mitigation initiatives in Indonesia, with a particular focus on blue carbon, including the Enabling Blue Carbon in Indonesia project, Nature-Smart Climate Solutions (NASCLIM), and support under the NDC Partnership (NDCP) framework. These initiatives are implemented in close coordination with the Ministry of Environment, the Ministry of Marine Affairs and Fisheries, and other relevant government counterparts.
The Project Assistant, Land and Sea Programme will support the implementation of blue carbon–related activities across these initiatives, with a primary focus on the Enabling Blue Carbon in Indonesia project, while also providing operational and coordination support to blue carbon components under NDCP and NASCLIM, as well as other related programme activities, as required. The position supports a packed agenda of coordination meetings, stakeholder engagements, capacity-building activities, workshops, and other organizational processes throughout programme implementation.
The Project Assistant will provide day-to-day operational, administrative, and coordination support for the implementation of agreed Joint Workplans between GGGI and government counterparts, including the Ministry of Environment (MoE) and the Ministry of Marine Affairs and Fisheries (MAF), ensuring prompt, responsive, accountable, and high-quality programme delivery across assigned workstreams.
The Enabling Blue Carbon in Indonesia project is funded by Global Affairs Canada (GAC).

PURPOSE
- Provide operational and administrative assistance to ensure the implementation of the Joint Workplans with MoE and MAF according to schedule.
- Manage and maintain an efficient and complete filing system, database, and documentation related to invoices, activities and events, as well as preparation and filing of minutes of meetings
- Support the coordination and liaison with Government counterparts, government task forces, other partner agencies, as well as our pool of experts, and other stakeholders in accordance with the Standard Operating Procedures (SOP) agreed with the Government, ensuring compliance in planning, reporting, documentation, and stakeholder engagement. This will include:
- Ensuring that activity requests from the Work Units will be submitted in accordance with the mutually agreed templates for Terms of Reference, budgets and other requests.
- Ensuring that activities will be reported by the Work Units in accordance with the mutually agreed templates for Activity Reports and actual expenses.
- Ensuring that Hand-over Reports (Berita Acara Serah Terima/ BAST) are developed for each deliverable.
- Ensuring that Project Monthly Reports will be submitted to the Head of the Technical Team according to the agreed schedule.
- Organizing and making all necessary preparations for the monthly Coordination Meetings with the Head of the Technical Team.
- File and record all documents under the Joint Workplans, including terms of reference of activities and consulting services, activity reports, and minutes of meetings, and any variations to the agreed Joint Workplans.
- Ensure that the implementation of Standard Operating Procedures are aligned with the donor requirements.
- Support financial management of the projects by tracking financial commitments, actual expenses, and supporting the monthly fund request submissions, including tracking and recording any revisions to the Project Budget.
- Assist in the planning and overseeing significant events, including the procurement, budgets and payments, invitations and confirmations, organizing logistics, and other organizational and logistical requirements.
- Coordinate with designated contact persons in each Work Unit (directorate-level) of MoE, MAF and other relevant ministries and government agencies in relation to administrative support, including the Start-Up Team of the Enabling Blue Carbon Project to support logistics.
- Inform partners, consultants, and vendors about administrative requirements such as templates, submission formats, and deadlines.
- Coordinate with GGGI Sustainable Landscapes and provincial operations teams to ensure administrative consistency and accurate information flow.
- Communicate logistical arrangements (meeting venue, agenda circulation, participant lists, etc.) to stakeholders.
- Provide requested administrative information to GAC’s administrative and audit teams as instructed by supervisors.
- Maintain an updated and organized Project Calendar that records major project events and deadlines.
- Organize and file all documents related to the Joint Workplans, including TORs, budgets, activity reports, MoMs, and BAST.
- Maintain a simple log of consultant and vendor documents (contracts, deliverables, payment status) based on information provided by project staff.
- Record and file actual expenses for events and activities using existing spreadsheets and formats.
- Prepare and package supporting documents for monthly fund requests, reimbursement packages, and compliance submissions under supervisor guidance.
- Provide logistical support for coordination meetings and events, including invitations, room/venue arrangements, attendance sheets, and documentation.
- Upload documents to SharePoint following the folder structure established by the project team.
- Prepare acknowledgement letters for project activities using approved templates.
- Carry out routine administrative tasks as assigned to support smooth project operations.
QUALIFICATIONS
- Bachelor’s degree in forestry, natural resources, fisheries or social sciences or administration disciplines or related fields
- Preferably 2 or more years of professional experience is preferred. Relevant experience gained through a Master’s program (including research, internships, or project work) will be considered an advantage, particularly for scholarship-funded programs.
- Familiarity in working with government agencies in Indonesia including Ministry of Marine Affairs and Fisheries, Ministry of Forestry and Ministry of Environment will be advantage.
- Experience working in climate or blue carbon issues will be an advantage.
- Experience in working with GAC and/or other international donor funded projects will be an advantage.
- Fluency in English and Indonesian is a must
- The position will involve domestic travel.
- Ability to develop and maintain good and healthy relationships with GGGI and its counterparts
- Ability to work in an organized, systematic manner, with degree of innovations and decision-making abilities
- Ability to write concise and clear minutes supplemented with effective filing and database system development and maintenance
- Ability to work together as a team and having flexibility in the field yet still uphold the standard operating procedure of the project
- Ability to perform in demanding atmosphere and self-motivate to produce quality results in timely manner
- Ability to communicate well with all stakeholders
- This position is an X4 grade level in GGGI’s national salary scale. Determination of base salary is subject to candidate's experience, academic background and internal equity.
- GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision.
