Job Title: Facilities Coordinator

Reports To: Manager- Facilities Plant USA

Job Status: Exempt

Basic Job Functions:

  • Performs diverse administrative support and facilities coordination duties with a high degree of confidentiality for the management team
  • Education/Experience:
  • Associate degree in engineering preferred
  • Bachelor’s Degree or equivalent preferred
  • 1-2 years’ experience including facilities coordination and shipping/receiving, document control.
  • Contract reviews is a plus
  • CAD drawing updates and reviews
  • Database experience preferred
  • Required Skills/Competencies:
  • Excellent understanding and experience with computer applications, specifically Word, PowerPoint, Excel, Outlook, MS Project and SharePoint.
  • Note taking and report writing skills; Budget tracking.
  • Effective interpersonal skills.
  • Superior oral and written communication skills.
  • Excellent telephone and email etiquette.
  • Advanced ability to organize and stay on top of tasks/projects.
  • Tact and good judgment in confidential situations and proven experience interacting with senior leaders of the organization.
  • Ability to switch fluidly between a wide range of tasks.
  • Experience handling purchasing and legal documentation (contracts, purchase orders, NDAs, etc.) preferred.
  • Ability to manage and coordinate with internal and outsourced service providers including janitorial and general building maintenance.
  • Experience administering MS SharePoint applications including intranet site administration and document control.
  • Essential Responsibilities:
  • Manage building janitorial and maintenance service providers. Scheduling of building inspections/preventative maintenance (i.e. fire code, backflow prevention valves, Comfort Systems PM, etc.)
  • Manage documentation, budget and record keeping for facility.
  • Coordinate with in-house; outside responsible parties and all corporate support functions (Property manager, FS facilities management, etc.)
  • Primary site interface for Finance, Accounting and AP. Enter purchase requisitions.
  • Manage site key-card access system, coordinated with corporate facilities department.
  • Maintains team calendars, screens and directs calls, e-mails and other communications.
  • Compile facility metrics, quarterly/monthly/weekly reports. Prepares presentation materials, spreadsheets and draft letters.
  • Exercises independent judgment and escalates serious or unique problems to higher levels.
  • Organizes documents and files.
  • Exercises effective communication at all levels of the organization and fosters team building.
  • Adheres to all safety procedures and good housekeeping standards.
  • Other duties as assigned.

  • Travel:
  • 0% - 5% (On occasion/as needed for training, etc.)

Estimated Salary Range:

  • Estimated Salary Range: $20-$28/hr

Manufacturing & Maintenance Physical Requirements:

  • Will sit, stand, or walk short distances for up to 12 hours per day.
  • Will climb stairs on a frequent basis.
  • Will lift up to 58 pounds on an occasional basis, according to work instruction.
  • Will lift up to 37 pounds on a frequent basis.
  • Will push or pull up to 27 pounds of force on an occasional basis.
  • Will push or pull up to 10 pounds of force on a frequent basis.
  • Required to use hands to grasp, lift, handle, carry or feel objects repetitively on a frequent basis.
  • 20/40 vision in each eye (with or without correction) and the ability to distinguish between red, yellow, and green is required.
  • May reach above shoulder heights and below the waist on a frequent basis.
  • May stoop, kneel, or bend, on an occasional basis.
  • Must be able to comply with all safety standards and procedures.
  • Ability to wear personal protective equipment is required (including, but not limited to; steel toed shoes, cut resistant gloves, jackets, aprons &/or arm guards, safety glasses, hearing protection).
