Detailed scope & responsibilities:

Facilities Strategy & Operations:

  • Develop a strategic business plan for our global real estate & facilities which supports the overall Facilities Management strategy and EVBox's strategic plans.
  • Manage our global real estate & facility services portfolio and corresponding global budget
  • Responsibility for reviewing and rationalizing existing lease contracts of our global offices (Rotterdam, Munich, other small local offices)
  • Ensuring the performance of suppliers and any outsourced services meet or exceeds the contracted service levels and KPIs
  • Setting annual budgets & targets for the team aligned with the overall company & department OKRs
  • Report based on functional, financial, sustainable and experiential KPI's
  • coordinate together with the office management & receptionist team our office support globally across our EVBox (serviced) offices and locations: Develop and implement innovative and effective processes and procedures
  • Collaborate with other key stakeholders like IT, security and HR to roll our new offices and moves efficiently; specifically take on a project lead role for the new facility project in Essen, Germany together with our service partners to ensure a successful project and office opening
  • Build (international) service partnerships for acquisition of real estate and providing facility services -> close collaboration with the legal team: Legal is involved in review of contracts already, drive and own contracts in terms of the commercial and operational aspects of leases
  • Building up a network of external advisors that are ready to support when needed (e.g. law firms, real estate agents/advisors)
  • Ensuring stakeholders (Sales, Operations, Services & Support) are supported in needs for office locations -> Scope is support for all offices, to ensure that local teams (e.g. Sales, Operations, R&D) can focus on their responsibilities and not have to manage facilities on the side
  • Maintaining relationships with landlords
  • Coordinate and collaborate with the Office Management Team on HSE requirements and improvements

Transversal activities

  • Align together with HR on a working from home <> return to the office strategy and policy (hybrid work); collaborate closely with the NL Works council on this topic and plan
  • Improve and own the working from home / working from the office policy in alignment and collaboration with HR and Compensation & Benefits
  • Collaborate with C&B on global employee benefits (e.g. WFH allowance, travel allowances, lunch cards, ....)
  • Focus on re-energising our workforce and building strong social connections cross-functional / cross-departmental
  • Drive and be involved in culture & way-of-working initiatives across the organisation together with HR, D&I, Employer Branding, Internal Communications (e.g. office events, company events/parties, ownership initiatives, collaboration, ...)
  • Support the EVBox global travel management platform with our external partner regarding budget control, collaboration, services provided
  • Improve and rationalise where possible and needed

Who you are:

  • A Commercial background or experience from a Real Estate business will be an asset
  • 3+ years of relevant experience
  • Strong affinity for governance procedures and SOPs
  • Strong analytical skills, solution orientation and 'can do' proactive approach
  • Advanced Microsoft Office skills, especially in Excel, Word and PowerPoint
  • Basic SAP skills will be an asset
  • Fluent written and spoken English, Dutch will be an advantage
  • Strong team and customer focus
  • Knowledge of laws, regulations and standards in the field of buildings, constructions and mechanical and electrical infrastructures will be an asset
  • Negotiations and contract management skills
