About The Role

As ECF's Senior Payroll Officer & HR Administrator, located in Berlin, you will be responsible for overseeing and managing the end-to-end payroll processes for the ECF staff located in Germany, Poland, Hungary and a fourth location (to be defined).

You will be responsible for ensuring accurate and timely payroll processing across these countries while maintaining compliance with local payroll legislation and company policies. Working closely with external payroll agencies, you will provide guidance on payroll operations, manage complex payroll matters, and help deliver an efficient and reliable payroll experience for employees.

You will be part of our very motivated HR team to help deliver a great service to the organization and you will report to the Compensation & Benefits Manager.

Key responsibilities

  • Manage end-to-end payroll processing across multiple countries, ensuring accuracy, timeliness, and compliance with local legislation and company policies.
  • Maintain employee payroll administration, including onboarding/offboarding, leave management, benefits, pensions, and employee records.
  • Review, validate, and reconcile payroll data, resolve discrepancies, and support audits, year-end activities, and compensation changes.
  • Act as a key contact for employees, external payroll providers, and internal stakeholders regarding payroll-related matters and queries.
  • Support continuous improvement initiatives by monitoring legislative changes and contributing to payroll process and system enhancements.
  • Participate in various HR-related projects.

Experience and competencies

The ideal candidate has:

  • At least 4 years of payroll experience
  • Experience with payroll in multiple countries is a plus
  • Fluency in English (both spoken and written)
  • Working knowledge of German (both spoken and written) in order to be up-to-date with German payroll-related legislation
  • Strong attention to detail with a structured, analytical, and well-organized approach, combined with a proactive problem-solving mindset.
  • Proactivity and able to work independently with a high level of ownership and accountability
  • Experience in working with HR and payroll systems/software
  • Excellent interpersonal skills and team player
  • Discretion & ability to handle confidential information in a highly professional way
