EIT Climate-KIC (Knowledge and Innovation Community) is Europe’s foremost climate innovation initiative. We understand that keeping global temperature rise below 1.5˚C demands unprecedented change. It requires new social dynamics, ways of doing business, capital flows, policymaking, economic models, and new ways of living. That is why our mission is to leverage the power of systems innovation to transform whole places, industries, and value chains by 2030, working across sectors to develop and scale ambitious, mission-led programmes.

Established in 2010 and headquartered in Amsterdam, we orchestrate a community of more than 400 organisations including large corporations and SMEs, municipal and regional governments, universities, and research institutes, as well as non-governmental organisations and uncommon actors. Historically, we have been funded by our founder and core funder, the European Institute for Innovation and Technology (EIT), but we are currently transitioning to a multi-funder model.

EIT Climate-KIC colleagues are based in one of our local offices across Europe or work remotely from home based in one of the countries where we have a branch. We meet at our local offices to exchange and connect and use online collaboration tools work with each other and with our Community. On occasion, we meet in-person as teams, and once per year as an organisation.

As a mission-driven organisation dedicated to climate transformation, we consider the climate impact of our own actions, for example travel, catering, or IT equipment.


Our mandate is to deliver innovation-as-a-service to our community. Alongside funding we promote knowledge and insights through quality data, technology and convening diverse networks across Europe and beyond. The Grant Management System, at the heart of our Enabling Services model, is an underpinning digital platform used by internal users and our external community in support of this mandate.

It is essential that our new Grant Management System optimises and focuses time and resources on making an impact on climate change, as well as effectively managing the amount of administrative effort required to do so. The Grant Management System - Product Analyst will support the multi-phase implementation of our new grant management system in 2023.

This role sits within our Digital Transformation Team and spans technical and operational (user) processes. We are keen to work with candidates who have user/operational experience in the fields of grant management: specifically, programme design, administering calls for proposal, commissioning and contracting, monitoring and evaluation, financial controls and reporting, data confidentiality and GDPR.

The role requires cross-organisational working using Agile methodologies to implement and continuously improve the end-to-end grant management processes. To achieve this the role has four distinct implementation features, and depending on candidates, may have a greater focus on one or more of these features:

  • Establishing user requirements with teams across EIT Climate-KIC
  • Leading the translation of requirements into solution design and build
  • Supporting the testing of the developed system to ensure it meets user requirements
  • Supporting internal/external user training and the adoption of new processes

The role would particularly suit candidates looking to transition from an operational specialism to technology design, implementation or project management. To help achieve this, the role also includes and embeds training and development aligned to your development needs. There is scope for contract extension and/or permanent recruitment.

Key Responsibilities

  • Establish, document and agree clear business requirements to support organisational objectives
  • Translate requirements into solution design with our technology development teams
  • Support Agile software development with our technology partners
  • Support the definition of user acceptance testing (test objectives, scenarios, and cases)
  • Support users in the user acceptance testing phase of a release
  • Verify actual testing results meet expected results to the required quality standards
  • Support the documentation of new processes required to leverage technology change
  • Support user training and adoption of new processes as part of systems release management
  • Provide post-release support

The role will work alongside our project management function to help prepare project plans, monitoring, controls, reporting dashboards and risk management.

Key Working Relationships

  • Works closely with the Business Desk, the grant management system’s lead internal customer
  • Co-ordinates with programmatic teams across EIT Climate-KIC
  • Co-ordinates with other enabling services teams and functions including Community Desk, Legal, Procurement, and Finance
  • Co-ordinates with our technology delivery partners



  • A relevant academic degree or professional qualification is desirable.
  • A project management or related qualification is desirable
  • Strong technical and/or programming related qualifications are not required for this role


  • At least five years of relevant experience in public and/or private funded grant management fields;
  • Operational/user experience within one or more year of grant administration, stakeholder relationship management, information management, resource planning, budgeting, financial administration, quality control, project management, business analytics or reporting;
  • Establishing and managing workload priorities;
  • Interest in working within a major European innovation programme;
  • Interest and/or prior experience in climate change.
  • Established project management and/or software development is desirable
  • Use or design of customer relationship management processes/systems (e.g. Salesforce) is desirable


  • Critical thinking and analytical capabilities with an ability to learn quickly;
  • Strong collaborative approach to working with a proactive service-oriented mindset;
  • Capable of organising and interpreting data & knowledge for business improvement using a variety of IT tools, including Excel
  • Excellent written and spoken English and fluency in more than one European language is an asset;
  • Comfortable with graphical representation of information
  • Ability to self-start and work autonomously and as part of a team
