One-Year Outreach and Membership Services Assistant

Earthjustice’s Outreach & Membership Services team is seeking a one-year Outreach & Membership Services Assistant (“Assistant”) to provide day-to-day support as team transitions are determined. Under the supervision of the Associate Director of Membership Services, the Assistant will play a key role in Earthjustice’s donor engagement and support. The successful candidate will perform a variety of administrative and customer service tasks, including responding to donor and prospective donor phone calls, emails, letters; updating databases; producing stewardship and other types of collateral; supporting donor relations projects, and more. This role requires high attention to detail, strong interpersonal and organizational skills, and excellent verbal and written communication skills.
This is a full-time (37.5 hours/week) role that may be done fully remotely or on a hybrid schedule from one of Earthjustice’s offices. The successful candidate will work for 12 months with an anticipated start date in late-October 2025.
Responsibilities:
Constituent Services & Donor Stewardship (70%)
- Coordinate with Outreach & Membership Services staff to respond efficiently and accurately to a high volume of donor inquiries by phone, email, social media, and other emerging channels.
- Learn about Earthjustice’s current and past work to synthesize and package complex information into accessible communications, in preparation for inquiries from donors and the public.
- Connect constituents to additional resources pertaining to their membership or Earthjustice programs.
- Collaborate with Development staff and other Earthjustice teams to ensure alignment in our messaging, support the development of values-driven talking points, and organize our internal resources and reference materials.
- Assist donors in making contributions over the phone, confirming their gift information, updating records, or providing copies of receipts.
- Support the printing, sending, and tracking of tribute and memorial gifts.
- Assist with stewarding public support donors with regular phone calls and emails thanking them for their contributions and sharing updates on our work.
- Assist with development of materials and outreach pieces – both printed and digital – including developing and overseeing timelines, coordinating review of materials and production.
- Support donor relations projects such as self-service improvements or special mailings to donors, including vendor coordination.
Internal Support & Data Integrity (25%)
- Record donor information and activity in the database consistently and accurately.
- Categorize and track inquiries from donors and supporters to provide reports on volume trends, and feedback connected to specific initiatives back to collaborative departments.
- Participate in department and organizational work teams and projects, as needed.
- Incorporate new technologies and processes that will improve efficiency and enhance donor experience.

- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; and participating in professional organizations and conferences.
- Participate in trainings, webinars, affinity groups, and conversations to continuously deepen understanding of Earthjustice values: justice, partnership, excellence, and inclusion.
Qualifications:
- Bachelor’s degree with 2+ years of relevant experience in administrative, fundraising, and/or customer service setting, or Associate’s degree with 5+ years of relevant experience.
- Solid knowledge of Microsoft Suite, including Word, Excel, Teams, and Outlook, and openness to learning new systems and software.
- Excellent customer service skills, including patience, problem resolution, creating welcoming environments, and a commitment to fostering positive relationships.
- Exemplary organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments.
- Superior verbal and written communication skills, including exceptional telephone skills and demonstrated experience writing effective correspondence, reports, and other print collateral.
- Ability to absorb and synthesize a broad range of information and communicate it in an understandable manner, vocally and in writing.
- Meticulous attention to detail for proofreading, copy-editing, data entry, and maintaining records.
- Ability to work and communicate with respect and compassion with diverse groups of stakeholders, that include donors, the public, and staff.
- Strong sense of discretion, diplomacy, and judgement in working with donors, colleagues, and sensitive information.
- Experience using a constituent relationship management (CRM) system, donor database email tools, or ticketing systems a plus.
- Background and/or interest in social and/or environmental justice issues preferred.
- Bilingual (Spanish/English) abilities a plus.
Compensation:
We offer a competitive salary and excellent, comprehensive benefits. Salaries at Earthjustice are determined by experience level and working location. The hourly pay ranges are:
- New York, NY and San Francisco, CA: $36.26 - $40.26 per hour
- Chicago, IL; Honolulu, HI; Los Angeles, CA; Seattle, WA; and Washington, D.C.: $34.41 - $38.26 per hour
- Anchorage & Junea, AK; Denver, CO; and Philadelphia, PA: $32.62 - $36.26 per hour
- Bozeman, MT; Houston, TX; and Miami & Tallahassee, FL: $30.82 - $34.26 per hour
- Remote (US): varies by location
