Event Coordinator
Events Co-Ordinator - Fully Remote with travel - $70,000 - $80,000 + excellent benefits
Dahlia recruitment are partnered with a growing Renewables company to recruit for a highly organized, detail-oriented Event Coordinator to support the planning and execution of conferences, webinars, education programs, committee meetings, and other initiatives across multiple association client. This role is responsible for coordinating the operational details that ensure events are delivered professionally and efficiently while providing exceptional service to attendees, speakers, sponsors, exhibitors and internal teams.
The ideal candidate enjoys coordinating multiple projects simultaneously, thrives in a fast-paced environment, communicates effectively with a wide variety of stakeholders, and takes pride in ensuring every detail is handled accurately and on time. This position works closely with program managers and leadership team to deliver exceptional experiences for members, exhibitors, sponsors, speakers, and event attendees.
Key Responsibilities
- Coordinate logistics for conferences, workshops, webinars, committee meetings, and educational programs across multiple association clients.
- Manage registrations, attendee communications, speaker logistics, certificates, meeting materials, and event operations.
- Provide onsite event support, including registration management, attendee assistance, speaker support, coordination with venues and vendors, troubleshooting operational issues, and ensuring a positive attendee experience. Monitor shared inboxes, answer phones professionally, and provide excellent customer service by responding to inquiries or routing them to the appropriate team member.
- Provide administrative support to Event Sales Staff and Registration Operations, including sponsorship fulfilment, , exhibitor and attendee management, registration updates, refunds, and maintaining accurate event data across multiple systems.
- Maintain organized event files, planning documents, standard operating procedures (SOPs), and other operational resources to support continuity across the team.
- Assist with special projects and operational initiatives that support association clients and organizational priorities.
Qualifications
- Strong organizational and project management skills.
- Exceptional written, verbal, and interpersonal communication skills.
- Exceptional customer service skills
- Demonstrated ability to quickly learn new software platforms and technology.
- Ability to manage multiple priorities in a fast-paced environment
- Ability to travel domestically for conferences and events (approximately 3-4 times per year).
- Experience supporting conferences, meetings, associations, non profits, or event operations is preferred.
