POSITION SUMMARY

The Program Coordinator provides administrative and programmatic support for the 50+ staff members of the Moore Center for Science (MCS). Reporting to the VP, Assessing Nature’s Values, they will provide support including coordination of internal/external meetings and workshops, tracking staff publications, and assisting with communications (newsletters, websites, factsheets).

They will be responsible for subscriptions to the division's scientific journals and monitoring usage. They will assist with ad-hoc research requests to our scientists as needed and track and report publications produced by science staff at CI.

The Coordinator will assist in the organization of meetings and workshops including travel logistics, processing of travel grants, budget tracking, and invoice processing. They will perform other administrative duties as assigned to assist the program staff including procurement, IT issues, updating the division handbook, onboarding new staff, and other misc tasks as required.

RESPONSIBILITIES

  • Workshop/Meeting Support – Coordination of internal and external workshops, meetings, and other special events.
  • Communications support – Update program initiative newsletters, website, factsheets, etc.
  • Publications support - Track and report publications produced by science staff at CI.
  • Library Journal Support – Maintain journal subscription accounts; provide reports on organizational account usage.
  • General Administrative support – General support to include procurement, IT issues, updates to the division handbook, and assistance with onboarding new staff.
  • Other duties as assigned by the supervisor.

WORKING CONDITIONS

  • This position is based in Arlington, VA. Hybrid working schedule.
  • Our Arlington, VA office is officially open. Guidance on hybrid or remote work schedules will be discussed during the interview process. For positions based in Hawaii and Seattle, further guidance will be provided in those offices during the interview process.

QUALIFICATIONS

Required

  • 2 to 4 years of related work experience.
  • Highly organized and able to multitask, prioritize, and adapt to changing priorities.
  • Team player but with the ability to work independently.
  • Solid computer skills, and experience with standard software packages, including MS Word, Excel, and PowerPoint.

Preferred

  • Bachelor's/Four-year college degree.
  • Foreign language skills.
  • Interest in nature and conservation.
