Part-time, 15-20 hours per week

The Community Weatherization Coalition (CWC) is a grassroots nonprofit organization, which started operations in 2008 in Gainesville, FL. Serving over 2,300 Alachua County households to date, the CWC aims to reduce the utility burden of our community’s most vulnerable citizens while conserving water and energy by providing unique, volunteer-driven, home energy tune-ups for both homeowners and renters.
About the Job
The Program Assistant is responsible for assisting with all of CWC’s core operations: recruiting and scheduling clients and volunteers for free home energy tune-ups, providing event support for our biannual energy coach training, community outreach, and more. This position reports to the Program Director and consists of spending most working hours in CWC’s office located near Downtown Gainesville, and others in the field at community events or tune-ups.

Responsibilities and Duties
Community Engagement and Client Recruitment
- Schedule/book home energy tune-up clients
- Carry out follow-up survey calls to gauge client satisfaction
- Conduct outreach and recruitment
- Occasionally table during community outreach events
Recordkeeping
- Enter and manage data for client files
- Write follow-up reports with personalized recommendations for clients
Volunteer Engagement
- Maintain volunteer contact records and volunteer hours
- Co-supervise office volunteers or interns, providing them proper guidance and mentorship
- Aid in coordinating and dispersing pick-up and drop-off of tune-up kits and outreach materials
- Assist team in volunteer recognition and appreciation
- Logistical support during CWC’s three-day training events held twice a year in spring and fall
Marketing, Design, Fundraising
- Work with the Outreach Coordinator to grow CWC’s social media platforms (Facebook, Instagram and LinkedIn) by aiding in content design and creation
- Design promotional materials for events, trainings, and mailers (English and Spanish)
- Assist with fundraising events and donor acknowledgements
- Other duties as assigned
Qualifications, Experience, Knowledge, and Skills
Required
- Positive, collaborative attitude
- Enthusiasm for CWC’s mission
- Strong time-management skills; efficient
- Highly effective communicator both in speech and writing
- Exceptional customer service skills, both over the phone and in person, to positively interact with clients, partners, and volunteers
- Strong organizational skills: individual must be comfortable working independently
- Proficient in Google Workspace and Microsoft 365 Suite as well as web-based applications such as Canva
- Experience with social media platforms
- Holds a valid Florida Driver’s license
Preferred Skills and Experience
- Associate Degree or higher education preferred; equivalent work experience considered
- Proficient in conversational Spanish
- Experience working or volunteering in non-profit sector
- Event planning
- Community outreach
- Graphic design
Other Requirements and Working Conditions
- Must have reliable transportation
- Must be available and willing to work occasionally on weekends and evenings

Pay: Hourly; $18.00/hour
Schedule: Weekday mornings preferred (flexible); occasional nights and weekends
Benefits: Paid time off per CWC policy, including Federal Holidays
