The Grants Manager will report to the Associate Director, Grants Management and will be part of the larger Finance Department. The Grants Manager is responsible for reviewing grants, programmatic contracts, and gifts with respect to IRS compliance and foundation-specific regulations for grantmaking, including due diligence. The Grants Manager will identify potential risks, be detail-oriented, collaborative and a self-directed team member with strong time management skills. The Grants Manager will coordinate closely with ClimateWorks’ Programs Team and the Finance Department to ensure smooth processing and administration of grants and contracts.

Essential Tasks

The Grants Manager will be responsible for the following and other duties as assigned:

Manage ClimateWorks grants by:

  • Assuring compliance with IRS and foundation-specific regulations for grantmaking, including conducting due diligence for both US and international grantees
  • In coordination with the Grants Assistant, ensuring supporting documents for new grants meet ClimateWorks requirements
  • Managing completion of grant-related reports for staff, management, incubated organizations, and the board of directors
  • Supporting the Finance Manager in reviewing grant budgets, ensuring adherence to ClimateWorks policies
  • Reviewing and approving grant award letters and grant extensions
  • Drafting grant amendments
  • Assuring the accuracy, completeness, and integrity of the information within two grants databases (Salesforce and Fluxx) and maintaining organized soft copy grant files in the cloud (Box)
  • Coordinating with all relevant staff and grantees to secure approvals, award grant letters, and meet other grant processing needs
  • Overseeing reporting requirements, ensuring timely submission of grants reports; tracking and monitoring status of reports; sending report reminders to grantees according to grants policies and procedures; monitoring grant payments
  • In coordination with the Associate Director, Grants Management, and collaboration with the Grants and Contracts team, develop and update policies and procedures for effective grants management, streamlining and improving efficiency where possible
  • In coordination with the Associate Director, Grants Management, and collaboration with the Grants and Contracts team, maintaining grants forms, policies, and procedures and training relevant staff as necessary

Manage ClimateWorks programmatic contracts by:

  • Reviewing and approving consulting agreements and extensions
  • Coordinating with all relevant staff and contractors to ensure proper documentation for contracts, secure approvals, and meet other contract processing needs
  • Assuring the accuracy, completeness, and integrity of the information in two databases (Salesforce and Fluxx), and maintaining organized soft copy contract files in the cloud (Box)
  • Managing completion of contract-related reports for staff and management

Required Qualifications

  • A bachelor’s degree or equivalent
  • 7+ years of relevant work experience is required, including at least 3-5 years in grants and contracts administration
  • Understanding of IRS regulations for grantmaking, including expenditure responsibility rules
  • Experience communicating directly with grantees on terms and conditions, reporting requirements, and other grant-related issues
  • Experience managing databases; experience with Fluxx or Salesforce is a plus
  • Highly organized and detail-oriented
  • Strong analytical and problem-solving skills
  • Well-developed interpersonal and teamwork skills; ability to reach out to different organizations within the ClimateWorks network and interact productively with individuals at all levels of external organizations
  • Experience with international grantmaking, including grantmaking in China, India, or Indonesia, a plus
  • Ability to juggle numerous competing demands and priorities, respond quickly to management requests

ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location).


ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as US Flexible. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
