Job Summary

CWF seeks a proactive and collaborative Project Management Associate to support the planning and execution of complex organization-wide projects. The associate will report to the Director of Special Projects, Operations, but will provide services across the organization and work with dynamic teams of leadership, content experts, and operations specialists. Projects will mostly focus on capacity planning, infrastructure, and policies to meet its goals, leverage our global presence, and ensure that staff are well-equipped to succeed in a hybrid working environment.

The Associate will also play a key role in building a culture of project management within CWF, serving as a resource for staff and leadership on project management tools and approaches, and providing outstanding support in keeping organization-wide projects on track.

The ideal candidate will be detail-oriented and enjoy “connecting the dots” across projects with multiple moving parts. They will thrive in a fast-paced and mission driven environment, and be flexible, collaborative, and solutions-oriented when approaching new situations and challenges.

Essential Tasks

  • Provide direct project management for selected complex organization-wide projects:
    • Work with project sponsor and stakeholders to reflect scope, goals, deliverables, resource requirements, and timings for key projects
    • Effectively manage project scope, ensuring changes in scope are appropriately evaluated for impact and documented in project plans and schedules
    • Ensure consistent flow of information to project stakeholders to support coordination across the organization. Key information should include decisions, notes, action items, timeline, and activities
    • Track and report on project milestones (as identified with guidance from project sponsor)
    • With support from project sponsor and supervisor, identify risks and capture strategies for addressing them
  • Support development of CWF project management capacity
    • Serve as a champion and resource for project management practices across the organization
    • As requested, support teams and project leaders in developing project management tools that meet their needs
    • Develop and share tools and best practices to support consistent delivery of work across the organization
    • Participate in brainstorming and feedback sessions to address new opportunities or challenges as they arise
  • Support on process improvements and special projects
  • As directed, provide support to special projects within the Operations and Planning team, including by helping to develop agendas, take notes, and track follow-ups for key department meetings
  • Develop visual aides, slides, and other materials to communicate policies, processes, and other information to staff and leadership
  • Participate in brainstorming and feedback sessions to address new opportunities or challenges as they arise

Required Qualifications

  • Strong project management skills based on 2-4 years’ experience in a relevant role
  • Demonstrated comfort in communicating with stakeholders, including in following up on agreed action items
  • A commitment to the mission and values of ClimateWorks Foundation
  • Excellent relationship management and collaboration skills
  • Interest in change management and organizational processes
  • Ability to both work independently and seek help when appropriate
  • Experience using Asana or similar project management tools
  • Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision
  • A commitment to a diverse, inclusive, and equitable work environment
  • Experience with, or aptitude for, facilitating meetings, including ensuring that there are clear decisions and action items being agreed to and communicated with relevant staff
  • Ability to join occasional calls outside of working hours to support staff and partners across Europe and Asia.

Desired qualifications include experience or expertise in one of the following areas:

  • Working in a hybrid (virtual and in-person) environment, including with collaboration tools (Mural, Miro, Jamboard, Slack)
  • Working in multiple countries and across cultures
  • Microsoft Office Suite (including Excel, Powerpoint, and Word)
  • Project Management certification or training

ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as US Flexible. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
