Finance and Operations Manager - Climate Action Campaign

The Climate Action Campaign is seeking a Finance and Operations Manager to join our Operations team. We’re looking for a passionate and dynamic team player with strong analytical and math skills (3-6 years of experience) who is a self-starter and can juggle multiple deadlines and priorities in support of the Operations team. In this role, under the direction of the Senior Director of Operations, you will provide day-to-day financial and operational management, procurement and inventory management, assist with financial reporting to internal and external stakeholders, and aid in human resources management. The right candidate will have exceptional communication skills, experience working in a non-profit or political setting, and eagerness to support the continuous improvement and organization of a fast-paced environment where priorities shift on a regular basis.

The Finance and Administration Manager will report to the Senior Director of Operations and work collaboratively across the organization. We are a nationwide team working with a wide range of leaders and a cross-sector ecosystem of partner organizations.

Key responsibilities may include:

Financial Management (50%)

  • Assist the Senior Director in the development of yearly operating and grant budgets.
  • Coordinates and manages budget approvals from CFO.
  • Review program expenditures on a bi-monthly basis and prepare approvals for Senior Director and Campaign Director.
  • Request donor invoices and monitor payments and other incoming transactions
  • Reviews accounts receivables and regularly reports to the Sr. Director on payment status.
  • Monitor grant and expense allocations and assist with funder reports
  • Coordinate internal review process of contracts and memorandums of understanding (MOUs), from drafting to execution, including obtaining legal reviews and internal and external signatures.
  • Manage contracts and partner regrants quarterly payment schedule.
  • Oversee the planning and coordinating of core consulting contracts and grant agreements, including facilitating due diligence reviews and acting as a secondary liaison with the program’s fiscal sponsor.
  • Maintain a record of the program's funders, grantees, consultants, and contractors.
  • Triage and respond to all donor inquiries and financial requests to ensure quality service is provided to all stakeholders and staff.

Human Resources (25%)

  • Manage and oversee the Campaign’s hiring, onboarding, and offboarding processes, including managing job postings, phone screenings, and interviews and facilitating weekly HR meetings with senior leadership.
  • Coordinate and support quarterly all-staff meetings, agenda development, and meeting facilitation.
  • Assist Senior Director with timesheet approvals, coding, and managing leave requests.

Administrative (25%)

  • Work with Operations Team to manage organizational operations, including campaign-wide service support, organization-wide meetings and briefings, and office management.
  • Provides oversight to Operations Coordinator and Operations Fellow
  • Support and manage special operations projects and ad-hoc tasks, such as staff appreciation events, coalition and community events, senior leadership team coordination, and other duties as assigned by the Senior Director or Campaign Director.

Who You Are

The ideal candidate will bring the following:

  • 3 to 5 years of experience in financial and grants management in a non-profit or political campaign setting
  • Advanced skills in Excel.
  • Knowledge of Quickbooks preferred
  • Strong analytical and math skills
  • A high degree of professionalism and cultural competency in dealing with diverse groups of people.
  • Excellent communication skills and time management with the ability to manage multiple processes at a given time.
  • Ability to complete a high volume of tasks and projects with little guidance.
  • Must be organized with strong attention to detail, proofreading skills, and the ability to work independently and within a team framework.
  • Ability to work effectively as a geographically dispersed team member and communicate with staff at offsite locations. This includes comfort with communicating via phone, Zoom, Slack, etc.
  • A demonstrated interest in environmental issues is preferred.

The Fine Print

This is a full-time, Exempt position based in Washington, DC. CAC staff work in a hybrid set-up with minimal in-office work (1-2 days a week). COVID vaccinations are required for onsite work. The salary range for this position is $65,00- $70,000 and is commensurate based on experience.
